Free Gift Voucher Tracker

A simple Excel tracker for massage therapists and other small therapy businesses to keep all their gift vouchers in one place.

Add each gift voucher as you sell it, and the spreadsheet will automatically show whether it is Active, Expiring Soon, Expired or Redeemed. It also keeps track of the value of your outstanding gift vouchers.

At the top, you can quickly see the total value sold, active gift vouchers, gift vouchers expiring within 30 days, expired and redeemed gift vouchers, and the total outstanding value.

How to use it

Enter each gift voucher in a new row. A few things are important for the automatic calculations to work correctly:

• Value: Enter numbers only, for example 65 or 100. Don't type the £ symbol. The spreadsheet will format the amount for you.
• Dates: Always enter dates as DD/MM/YYYY using forward slashes, for example 03/10/2026.
• Voucher Number: Enter the voucher number for each gift voucher. The automatic status will appear once this has been entered.
• Redeemed Date: When a gift voucher is used, enter the date in the Redeemed Date column. The status will automatically change to Redeemed and the outstanding value to £0.
• Status and Outstanding Value: These are calculated automatically, so you don't need to enter anything in these columns.
• Expiring Soon: The tracker automatically identifies gift vouchers that are within 30 days of their expiry date.
