Apostille Client Service Agreement Template (Word + Canva)
This is the agreement I use with my own apostille clients and I have turned it into a template you can make your own!
When a client hands you their original documents, you want everything in writing: what you received, what they’re paying, how long it may take, and what happens if a government agency rejects something. This agreement covers it all in two clean pages, so your clients know exactly what to expect and you have a record of every document that leaves their hands.
Customize it in either Microsoft Word or Canva, whichever you’re more comfortable with. Replace the red placeholder text with your business name, pricing, turnaround times and agency, and it’s ready to use.
What the agreement covers
- Client information
- Document receipt and inventory: track each document, its originating state, whether it needs notarization or translation, and initials from both you and your client
- Payment terms with standard, rush and additional-document pricing
- Document return timeline, method and mailing address
- Client acknowledgments, including that processing times depend on the government agency and that an apostille can’t be guaranteed
- Signature section for both parties
What’s included with purchase:
- Editable Word template (.docx)
- Customization guide (PDF) with:
- Your Canva template link
- Step-by-step instructions for both Word and Canva
- A guide to filling out the document inventory
- 4 example agreements (2 Word, 2 Canva) so you can see the finished result
Good to know
- The Word version works best in desktop Microsoft Word. If you use Google Docs, Pages or Word online, choose the Canva version. A free Canva account works.
- Prices and turnaround times in the examples are for illustration only, not recommendations.
- This is a customizable business template, not legal advice. Apostille requirements vary by state, so review it for your own business and jurisdiction.
- Digital download only.
