Terms, Refunds and Privacy
About These Terms
By buying from this store, you agree to these terms, which explain how our courses and resources work, what happens if you want to cancel and how we look after your personal information.
This store is run by MindMotive AI. MindMotive AI is a trading name of Karen Ferguson, a sole trader based in the UK. 26 The Furlongs, Needingworth, Cambridgeshire PE27 4TX. You can contact us at team@mindmotive.co.uk.
Our store is hosted by Payhip, which manages the checkout and course access. Payhip's own terms and privacy policy also apply when you use its platform.
Your Course and What You Receive
When you buy a course, you receive personal online access to the course materials through Payhip, along with any downloads included with it. Each course page describes what is included, the suggested study time and, where relevant, the number of CPD hours.
Our courses are educational. They are not therapy, counselling, supervision or professional advice, and they do not qualify you to practise unless a course page clearly states that it leads to a qualification.
Where a certificate is offered, you will receive it once you have completed the requirements described on the course page.
For courses with assessments, completing the materials does not guarantee a pass, and a certificate or qualification is awarded only when your assessed work meets the criteria set out in the course information. Our CPD courses are not accredited unless the course page says otherwise, and you are responsible for recording your CPD and checking that it meets the requirements of your own professional body.
We review our courses regularly and may update the content, particularly where information about AI products, research or professional guidance changes. Updates will not reduce the core content you paid for.
Time Limits and Extensions
Where a course has a completion period, it is shown on the course page, and you need to complete the course requirements within that time.
Extension arrangements vary between courses and are set out on each course page, and some courses do not offer extensions. Where they are available, a free extension may be granted for circumstances such as illness, bereavement or caring responsibilities, with supporting evidence, and a paid extension may be available up to a stated limit.
If you do not complete within your completion period and any extension, you may need to re-enrol to finish the course.
Using the Course Content
All course materials are owned by MindMotive AI and protected by copyright. Your purchase gives you a personal licence to use them for your own learning and professional development.
You may not:
- share, forward or lend the materials or your login to anyone else
- copy, post or publish any part of the materials, including on social media, websites or shared drives
- sell, rent or include the materials in your own courses, training or products
- use the materials to deliver training to others
Downloadable files may be marked with your email address and purchase date. If we find that course materials have been shared or misused, we may withdraw your access without a refund.
Prices and Payment
Prices are shown in pounds sterling and include any VAT that applies. Payments are taken securely at checkout through Payhip using Stripe, and we never see or store your full card details.
Where a course offers a deposit or payment plan, the number of payments, the amount of each and the total you will pay are shown before you buy. Once you start a payment plan, you agree to make all the payments, and the full course fee remains due even if you stop studying.
If a payment fails, Payhip will try to take it again and let you know by email. We may pause your access until your account is up to date, and certificates and qualifications are only issued once the course has been paid for in full. If payments remain outstanding, we may withdraw your access, and the remaining balance is still owed.
Cancellations and Refunds
Under UK consumer law, you normally have 14 days to cancel a purchase of digital content. Because our courses give you access straight away, you will be asked at checkout to agree to immediate access and to confirm that you understand you lose this right to cancel once your access to the course begins.
Once your access has begun, we do not offer refunds for a change of mind. This does not affect your legal rights: if the course is faulty, cannot be accessed or is not as described, please contact us and we will put it right or offer a refund where appropriate.
Our Responsibilities and Yours
We take care to make our courses accurate and up to date, but AI products, research and professional guidance change quickly, so we cannot guarantee that every detail will remain current.
If you are a practitioner, you remain responsible for your own professional decisions, including how you apply anything you learn, any tools you choose to use or recommend, and meeting the requirements of your professional body, insurer and data protection law.
Where our courses mention MindMotive AI's own products, such as our Digital Partners, this is made clear in the course. You are under no obligation to buy or recommend any of our products.
We are not responsible for losses that were not reasonably foreseeable or that result from how you choose to use the course content. Nothing in these terms limits our liability where it would be unlawful to do so, including for death or personal injury caused by negligence, or for fraud.
Privacy
MindMotive AI is responsible for the personal information you give us through this store, and we only use it to provide your course and run our business. We never sell your information.
What we collect
- your name, email address and purchase details, provided through Payhip at checkout
- anything you submit to complete a course, such as a final reflection or quiz answers
- any messages you send us
Please do not include names or identifying details of clients or anyone else in anything you submit to us.
How we use it
- to give you access to your course and issue your certificate (to fulfil our contract with you)
- to keep records of purchases and course completion (to meet our legal and accounting obligations, and so certificates can be verified)
- to reply to your questions and tell you about important changes to your course
- to send you news about other courses and resources, but only if you have agreed, and you can unsubscribe at any time
Who we share it with
We share information only with the services we need to run the store, including Payhip, Stripe and our email and accounting providers. Some of these may process information outside the UK, with safeguards required by data protection law.
How long we keep it
We keep purchase records for as long as tax and accounting rules require, usually six years. We keep a record of course completion for the same period so certificates can be checked. Course submissions are kept only as long as needed to issue your certificate.
Your rights
You can ask to see the information we hold about you, have it corrected or deleted, restrict or object to how we use it, or withdraw consent to marketing. To make a request, email team@mindmotive.co.uk. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes and Governing Law
We may update these terms from time to time, and the date at the top shows when they last changed. The version in place when you made your purchase applies to that purchase.
These terms are governed by the law of England and Wales. If you have a concern, please contact us first at team@mindmotive.co.uk so we can try to resolve it.
