Damaged Item Message Template for Small Sellers

Damaged-item messages are tricky because the seller needs enough evidence to decide what to do, but the buyer wants a fast human response.

The goal of the first reply is simple:

- acknowledge the problem

- ask for the exact details you need

- avoid promising a refund or replacement too early

- show the buyer there is a clear next step

Here is a copy-ready first response you can adapt.

Copy-Ready Template

Hi [Name],

I am sorry your order arrived damaged.

Please send clear photos of:

- the damaged item

- the packaging

- the shipping label if possible

Once I have those, I can review the issue and help with the next step.

Best,

[Shop Name]

Why This Works

This reply stays calm, asks for the right evidence, and keeps the conversation moving without making a promise too early.

It also avoids two common mistakes:

- offering a refund or replacement before seeing the damage

- asking vague questions that create extra back-and-forth

Most sellers do not need a longer first message. They need a short message that gets the proof they need.

Softer Version

Use this if the buyer sounds frustrated and you want a warmer tone.

Hi [Name],

I am sorry to hear the order arrived damaged.

Please send a few clear photos of the damaged area and the packaging when you can. Once I review them, I will help with the next step.

Best,

[Shop Name]

Firmer Version

Use this if the buyer is already demanding a refund before sending any details.

Hi [Name],

I understand the concern. Before I can review refund or replacement options, I need clear photos of the damaged item and packaging.

Once I have those, I can check the next step from my side.

Best,

[Shop Name]

What Not To Promise

Avoid promising:

- a refund before reviewing the damage

- a replacement before checking inventory or policy

- that the carrier is at fault before you have evidence

- that the claim will be resolved the same day if you cannot guarantee that

The safest first move is to gather evidence, then decide.

Quick Reply Formula

Use this structure when a buyer says the item arrived damaged:

I am sorry this arrived damaged.

Please send [photos or details needed].

Once I review that, I will help with the next step.
