"Delivered" messages are stressful because the buyer wants an answer immediately, but the seller usually does not have enough information yet.
The goal is not to promise a refund too early. The goal is to move the conversation into a short fact-checking step:
- acknowledge the concern
- confirm the tracking status
- ask the buyer to check a few likely delivery issues
- tell them when you can re-check the case
Here is a copy-ready first response.Copy-Ready Template
Hi [Name],
Thanks for reaching out. I checked the tracking, and it is marked as delivered.
Before we assume the package is lost, please check these first:
- around the mailbox, porch, side door, or building desk
- with other household members
- with a nearby neighbor
If it still does not turn up, reply here and I will help you with the next step.
Best,
[Shop Name]
Why This Works
This reply stays calm and does not argue with the buyer.
It also avoids the two common mistakes:
- treating a delivered scan as final proof before basic checks are done
- promising a refund or replacement before the case is clearer
Most "delivered but not received" cases are resolved by a neighbor, front desk, or delayed final drop-off scan.
Firmer Follow-Up
Use this if the buyer has already checked the usual places and the package is still missing.
Hi [Name],
Thanks for checking. Since the tracking shows delivered and the package still has not turned up, the next step is to wait a short window in case of a delayed final drop-off, then I can help you review carrier and order options.
Please reply if it is still missing after [time window you use].
Best,
[Shop Name]
What Not To Promise
Avoid promising:
- a refund before checking the tracking details
- a replacement before confirming your policy and carrier path
- that the carrier definitely lost the package
- that the customer is at fault
The safest tone is neutral, short, and process-based.
Quick Reply Formula
Use this structure when a buyer says the package is missing:
Thanks for reaching out.
I checked the tracking and it shows [status].
Please check [short list].
If it is still missing after [time window], reply here and I will help with the next step.
