Etsy Refund Message Template: How to Say No Politely

Refund messages are hard because the seller has to protect the shop policy while still sounding fair and human.

The mistake many sellers make is writing too much. A good refund boundary reply should be short, calm, and specific:

Here is a copy-ready template you can adapt.

Refund Request Outside Policy

Hi [Name],

Thanks for reaching out. I checked the order date and our return policy, and this request is outside the return window.

I am not able to approve a refund for this order, but I am happy to answer any product questions that may help.

Best,
[Shop Name]

Why This Works

This reply does not over-apologize or argue. It gives the customer a clear answer and explains the basis for the decision.

It also avoids phrases that can create more back-and-forth, such as:

When the policy is clear, the customer needs a respectful answer, not a long defense.

Softer Version

Use this if the customer seems disappointed but not aggressive.

Hi [Name],

Thank you for explaining the situation. I checked the order date and our return policy, and this order is outside the return window.

I understand this may not be the answer you hoped for, but I am not able to approve a refund in this case. If you have a product question or need help using the item, I am happy to help.

Best,
[Shop Name]

Firmer Version

Use this if the customer has already asked more than once.

Hi [Name],

I understand your request, and I have reviewed the order and policy again.

My decision remains the same: I am not able to approve a refund for this order because it is outside the return window.

Best,
[Shop Name]

What Not To Promise

Avoid promising:

If you make an exception, write down why. That helps you stay consistent if the same situation happens again.

Quick Reply Formula

Use this structure when you need to say no politely:

Thanks for [explaining / reaching out].

I checked [order fact or policy].

Based on that, I am not able to [requested action].

I can still help with [one useful next step].
