A useful line sheet answers a buyer's practical questions: what is the item, what does it cost, how many can I order, and who confirms the details? Start with a small collection and a consistent set of fields. Attractive product photos help, but they cannot resolve an unclear case pack or missing ordering contact.
Give every item the same fields
Record a SKU, product name, short description, wholesale unit price, currency, minimum units and units per case. Add suggested retail if it is relevant, keeping it distinct from the buyer's wholesale price. At collection level, include the brand, ordering contact, lead time and notes about confirming stock, shipping and payment terms.
Use one meaning for each quantity field. “Minimum units” is the smallest quantity you are willing to discuss for that item; “units per case” is the pack multiple. A quantity can satisfy one rule while failing the other, so check both. Record any exceptions explicitly instead of assuming the buyer will infer them.
A fictional order, worked through
Stone & Fern's fictional Everyday cup has a wholesale price of $12.50, a minimum of six units and a six-unit case. Six cups total $75. Its Small serving bowl costs $18, with a four-unit minimum and four-unit case. Four bowls total $72. The product subtotal is therefore $75 + $72 = $147 USD, before tax, shipping or any other charges.
Five cups would total $62.50, but that quantity is below the six-unit minimum and is not a complete six-unit case. Arithmetic alone would not catch the ordering problem. The collection also includes a $15 Bud vase with a minimum of six and a case of three. Three vases make a complete case but still fall below the minimum; in our example, no vases are selected.

Check the handoff
Keep catalog details and a specific buyer's quantities distinguishable. One describes what you offer; the other records a possible order. Recheck prices after editing the collection, and date the version you share so you can identify which numbers a buyer saw.
This free worksheet contains typed fields, not automatic calculations or an ordering service. It is not an import template for a store or app. Calculate the totals yourself and confirm stock and terms before treating any worksheet as an accepted order.
An optional tool for this workflow
Wholesale Line Sheet Studio adds CSV product intake, local photos, minimum/case checks, editable catalog JSON and HTML line-sheet exports. Order quantities save separately as CSV. The desktop-browser tool is $19 USD once for the delivered version; it does not place orders, take payments or check inventory. This article and its blank fields require no email signup.

Compare four quantities against the same ordering rules
For a separate fictional cup, suppose the wholesale unit price is $12.50 USD, the minimum is 18 units, and each complete case holds six units. Check the minimum and case multiple separately:
12 units = two complete cases. Below the 18-unit minimum. Products subtotal: $150.00. App review note: Below minimum order quantity.
18 units = three complete cases. Meets both rules. Products subtotal: $225.00. No minimum/case warning.
20 units = three complete cases plus two units. Meets the minimum but leaves an incomplete case. Products subtotal: $250.00. App review note: Not a complete case pack.
24 units = four complete cases. Meets both rules. Products subtotal: $300.00. No minimum/case warning.
The app keeps the quantity you enter; it does not round it to another case quantity. Its order CSV retains any minimum/case review note.
No minimum/case warning only means these two quantity checks pass. It does not confirm stock, shipping charges, payment terms or seller acceptance. Subtotals are quantity × wholesale unit price, excluding tax, shipping, discounts and other charges. Choose a quantity and confirm any exception with the seller before treating the worksheet as an order.
