QA Test Case CSV Import Template for TestRail, Qase, Xray, and Zephyr
AI can generate test cases quickly, but the output is only useful if your team can move it into the tools you already use. A paragraph list of test ideas is hard to review, hard to assign, and hard to import.
That is why a CSV-ready test case format matters. Whether your team uses TestRail, Qase, Xray, Zephyr, Azure DevOps, Jira, Linear, GitHub, or a spreadsheet, the AI output should be structured enough to clean up and import.
The goal is not to create a perfect universal CSV. Every tool has slightly different import rules. The goal is to create a stable test case table that can be adapted without rewriting everything by hand.
Why CSV-Ready Test Cases Work Better
CSV-ready output helps QA teams:
• review test cases faster
• sort by priority and risk
• filter by requirement or feature
• assign manual or automation candidates
• import cases into a test management tool
• spot missing expected results
• catch duplicate scenarios
• keep release coverage consistent
AI is good at producing volume. A CSV structure gives that volume shape.
Recommended Columns
Start with these columns:
• Test ID
• Requirement ID
• Feature
• Scenario
• Preconditions
• Test Data
• Steps
• Expected Result
• Priority
• Test Type
• Automation Candidate
• Owner
• Notes
For smaller teams, you can remove Owner or Requirement ID. For larger QA teams, you may want extra fields like Component, Regression Risk, Environment, Tags, or Sprint.
Prompt Template
Paste this into ChatGPT, Claude, Gemini, or another AI assistant:
Act as a senior QA engineer creating CSV-ready test cases for import into a test management tool.
Review the requirement below and create a test case table with these columns:
• Test ID
• Requirement ID
• Feature
• Scenario
• Preconditions
• Test Data
• Steps
• Expected Result
• Priority
• Test Type
• Automation Candidate
• Owner
• Notes
Rules:
• Keep each row focused on one test case.
• Make expected results specific and observable.
• Include happy paths, negative tests, edge cases, permission checks, and regression risks.
• Do not invent product behavior. Mark unclear behavior as a question in Notes.
• Use clear step numbering inside the Steps cell.
• Return the output as a Markdown table first, then as CSV-ready rows.
Example Requirement
User story:
As a workspace owner, I want to invite teammates by email so they can join my workspace.
Acceptance criteria:
• owner can invite a teammate by email
• email address is required
• role must be admin or member
• duplicate pending invitations are not allowed
• non-owners cannot invite teammates
• invited teammate receives an email
Example CSV-Ready Rows
| Test ID | Requirement ID | Feature | Scenario | Preconditions | Test Data | Steps | Expected Result | Priority | Test Type | Automation Candidate | Owner | Notes |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| TC-001 | INV-001 | Workspace invitations | Owner invites a teammate as member | Workspace exists; owner is signed in | email=new.user@example.com; role=member | 1. Open invitation form; 2. Enter email; 3. Select member role; 4. Submit | Pending invitation is created and invitation email is sent to the entered email address | High | Functional | UI automation candidate | QA | Confirm exact email trigger |
| TC-002 | INV-001 | Workspace invitations | Missing email is rejected | Workspace exists; owner is signed in | email blank; role=member | 1. Open invitation form; 2. Leave email blank; 3. Select member role; 4. Submit | Invitation is not created and required email validation is shown | High | Negative | UI automation candidate | QA | Confirm exact validation message |
| TC-003 | INV-001 | Workspace invitations | Non-owner cannot invite teammate | Workspace exists; member is signed in | member user account | 1. Sign in as non-owner; 2. Open workspace settings; 3. Attempt invitation action | Non-owner cannot send invitation | High | Permission | UI or API automation candidate | QA | Confirm whether form is hidden or submit is blocked |
This structure is easier to review than a loose list because every row includes setup, steps, expected result, priority, and notes.
Import Tips
Before importing AI-generated rows into your tool, check:
• whether required columns match your tool's importer
• whether commas and line breaks are escaped correctly
• whether multi-step cells are readable after import
• whether Test ID values should be generated by the tool instead
• whether priority labels match your team's allowed values
• whether tags, components, or folders need separate fields
• whether expected results are specific enough to execute
• whether unclear product behavior is marked as a question
Do a small import test with 3 to 5 rows before importing a full batch.
Tool-Specific Notes
TestRail, Qase, Xray, Zephyr, Azure DevOps, and spreadsheets all handle imports differently. A good AI prompt should avoid assuming one tool's exact schema unless you provide that schema.
If your tool has required columns, paste those column names into the prompt and ask AI to follow them exactly.
Example:
Use these exact import columns:
Title, Preconditions, Steps, Expected Result, Priority, Type, Tags, Requirement ID
Then ask AI to map the test cases into that format.
Review Before Import
Before importing, ask:
• does every row map to a requirement?
• are there duplicate scenarios?
• are negative paths included?
• are permission cases included?
• are expected results observable?
• does each row have enough setup data?
• should this be a manual case, API automation, or UI automation?
• did AI invent behavior that needs product confirmation?
CSV-ready does not mean review-free. It means the review is faster.
