Being an executor means keeping track of a lot at a difficult time. This Complete UK Executor Estate Tracker puts it all in one file: what the person owned and owed, every payment in and out of the estate account, an Inheritance Tax estimate, who inherits what, a 34-step checklist and printable estate accounts.

For lay executors and administrators in England and Wales handling an estate themselves, or keeping their own record alongside a solicitor. The IHT estimate works for any UK estate; the task list and probate steps follow England and Wales (Scotland and Northern Ireland have different processes). Not a tax return and does not file anything for you.

▶ Easy Start Here guide included – video tutorial coming to our YouTube channel

Works in Microsoft Excel and Google Sheets, with no macros.

What it does for you

  • Dashboard: net estate, cash held, estimated IHT, tasks done, key dates, money summary, next tasks and data checks, with three charts (estate by category, executor account by month, tasks by stage)
  • Assets & Debts (300 rows): value at the date of death, joint share, items outside the estate, valuation basis and stage, plus what is still to collect or pay
  • Money In & Out (1,000 rows): the executor account with a running balance, linked to assets, debts and beneficiaries, and checks for missing dates, wrong categories and an overdrawn balance
  • IHT estimate: £325,000 nil-rate band, £175,000 residence nil-rate band with the £2m taper, transferred allowances, gifts in the last 7 years, spouse and charity exemptions and the 36% rate
  • Key dates worked out: IHT payment due (end of the 6th month), IHT400 due (12 months) and 6 months after the grant
  • Beneficiaries: specific gifts, cash legacies and residue shares, with entitlement, paid so far and still to pay
  • Estate Accounts: a printable summary for the beneficiaries, with sign-off lines
  • Tasks: 34 common executor steps for England and Wales, plus your own, with due dates and overdue flags

How it works (3 steps)

  1. Settings: the name of the person who died, the date of death, the executors and, later, the grant date (about 2 minutes)
  2. Assets & Debts and Money In & Out: list what they owned and owed, then record every payment in and out of the executor account
  3. Beneficiaries, Tasks and Estate Accounts: track who gets what, tick off tasks, and print the accounts when you are ready to distribute

Good to know

  • Cream (pale yellow) cells are for your input. White and grey cells are worked out for you, and the sheets are protected (no password) so formulas are not overwritten by mistake
  • Rules checked on GOV.UK in November 2026: nil-rate band £325,000 and residence nil-rate band £175,000 (fixed to April 2031), IHT due by the end of the 6th month after death, probate fee £526 for estates over £5,000
  • From 6 April 2026, 100% business and agricultural relief applies to the first £2.5 million of qualifying property and 50% above that; the IHT tab lets you type the relief amount
  • For deaths on or after 6 April 2027, most unused pension funds count for IHT. The file reminds you; you choose how to enter pensions
  • The IHT figure is a simplified estimate. It does not cover taper relief on lifetime gifts, quick succession relief, trusts, foreign assets, grossing up or partly exempt residue
  • FAQ: Does it fill in HMRC or probate forms? No. It keeps your records and figures in one place so the forms are easier
  • FAQ: Can I share it with my co-executor? Yes. Upload it to Google Drive and share it, or email the file

  • One licence for the estate you are dealing with
