Reseller Inventory and Profit Tracker
Reseller Inventory and Profit Tracker Excel for resellers — item pricing after platform fees and shipping, a sales log by platform, stock and inventory, and a monthly P and L dashboard. Know what every item actually costs — and whether the month actually made money.
Built for resellers on eBay, Poshmark, Depop, and Mercari who need to know, item by item and sale by sale, whether the sale price covers what they paid, the platform fees, and the shipping — without accounting software. If an item is losing money after fees, this workbook shows it before you source more of it.
WHAT'S INCLUDED (6 sheets):
- Items and Pricing — acquisition cost, platform fees plus shipping per item, total cost per item, average sale price, and margin in dollars and percent for every item. Change a cost and every sale profit updates by formula.
- Sales Log — date, buyer, platform, item, quantity, price per item, revenue, cost per item pulled from the pricing sheet, profit per sale, and margin. Log sales from every platform in one place.
- Stock and Inventory — stock line, unit, quantity on hand, reorder point, cost per unit, and stock value. Anything at or below its reorder point is flagged LOW STOCK so you source more before you run out.
- Monthly P and L — revenue, item cost, packaging and shipping supplies, sourcing travel, and other expenses by month, Jan-Dec, with net profit and margin. Revenue and item cost are formulas from the Sales sheet.
- Dashboard — total revenue, sales, items sold, average sale value, gross and net profit and margin, best item by margin per item and by margin percent, best-selling item, best sale and best platform, costs by category, and low stock count.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.

HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. On sheet 1, enter each item's acquisition cost, platform fees plus shipping per item, and average sale price. Cost per item and margin fill in by formula.
3. On sheet 2, log every sale: date, buyer, platform, item (spelled exactly as on sheet 1), quantity, and price per item. Revenue, cost per item, and profit fill in by formula.
4. On sheet 3, keep quantities on hand current and set a reorder point for each stock line. Source more of anything flagged LOW STOCK.
5. On sheet 4, enter packaging and shipping supplies, sourcing travel, and other expenses each month, then check gross and net profit on the Dashboard.
HOW THE NUMBERS WORK:
Cost per item is acquisition cost plus platform fees and shipping per item. Margin per item is average sale price minus cost per item. Margin percent is margin per item divided by average sale price. Gross profit is revenue minus item cost; net profit is revenue minus item cost, packaging and shipping supplies, sourcing travel, and other expenses. One item is one unit, so the basis on sheet 1 is 1.
WHO IT'S FOR:
Resellers and thrift flippers selling on eBay, Poshmark, Depop, or Mercari who want item pricing, sale profit, stock and inventory, and a monthly P and L in one workbook — without accounting software.
PLEASE NOTE:
- This is a digital download. No physical item will be shipped.
- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).
- Example data for October 2026 is included (12 items, 20 sales, 22 items sold, 13 stock lines). Replace it with your own numbers.
- The example is honest about the weak spots: the Kids Toy Bundle loses 2.50 per item at its regular 18.00 price after platform fees and shipping, promo sales at 16.00 lose even more, and a tote of 24 plush toys (144.00 at cost) is dead stock with no October sales at all. Fees plus shipping is entered as one average amount per item on sheet 1 — split it out on your own copy if your platforms charge very differently.
- This is a bookkeeping and planning tool only, not tax, legal, or CPA advice.
- Due to the nature of digital downloads, refunds are not available. Message me before buying if you have a question.
