Cost Per Loaded Mile And The Empty Return

An owner operator is paid per loaded mile and pays for every mile, which is the whole problem. At $6,400 of fixed cost a month and $0.62 a mile running cost (fuel, tires, maintenance) over 10,500 miles, the all-in cost is $1.23 a mile. With no empty running, $1.42 a loaded mile clears a $2,000 monthly profit. At 25% deadhead the same profit needs $1.89, because a quarter of the miles earn nothing and still burn fuel. A rate per loaded mile tells you almost nothing until you know the empty miles behind it.

What the year has to bring in

The first worksheet page starts from $18,000 of take-home income,

$154,920 of overhead across the items listed and tax on profit,

and works out the revenue the business needs: $178,920 a

year. This business does not sell hours, so the kit does not turn that

into an hourly rate. Every step is printed, with a blank worksheet for your own

numbers.

$1.42 a loaded mile, or $1.89 — the difference is empty running

An owner operator is paid per loaded mile and pays for every mile. At $6,400 a month of fixed cost and $0.62 a mile running cost over 10,500 miles, the all-in cost is $1.23 a mile.

With no empty running, $1.42 a loaded mile clears a $2,000 monthly profit. At 25% deadhead the same profit needs $1.89 — 47 cents a mile, from nothing but miles that earn nothing and still burn fuel. Which is why a posted rate tells you almost nothing, and why the first question about any load is how far away the pickup is.

Then the test for a single load, which is not the average cost per mile. A $2.40 load over 480 loaded miles with 120 empty is really $1.92 a mile across everything — it still clears $570 after the day, so take it, but it is not the load the posting described. With 300 empty miles the same load is $1.48 a mile and still clears $458.40; it stops covering its day only past 1,039 empty miles.

And the one for repositioning freight, which brokers price assuming you have no choice: the comparison is not against your target rate, it is against running empty. If the load's contribution is less than the fuel you would burn going back anyway, an empty truck is worth more.

Includes a live Excel workbook and eight scripts — asking a broker what the deadhead to the pickup is, declining a load that does not cover its miles, documenting detention at the dock, pinning a fuel surcharge to an index, and asking a factoring company what it really costs.

8 client scripts

Each one carries a line explaining why it is worded that way, because

a script you do not understand is one you will not send. Placeholders are in

[BRACKETS] so nothing goes out in someone else's words.

- Asking a broker what the deadhead to the pickup is

- Declining a load that does not cover all its miles

- Negotiating detention after two hours at the dock

- Asking for a fuel surcharge in writing

- Querying a rate confirmation that changed

- Telling a broker you will not run cheap freight to reposition

- Asking a factoring company what the real cost is

- Pricing a dedicated lane against spot work

What this is not

These numbers are not a market price. They are arithmetic

about you — what your income target requires. They do not tell you what your

market will pay. If the number is far above what your market bears, that is real

information: something has to move, and quietly working below the floor is the

one option that cannot last.

These are scripts, not contracts, and nothing here is legal

or tax advice. No script threatens statutory interest, collections or legal

action — whether any of those is available to you depends on your contract and

jurisdiction. The 25% tax figure is a placeholder; ask your accountant for

yours.
