Allied Health Referral & Session Tracker Australia | Medicare, NDIS, DVA and WorkCover
Referral dates, approved sessions and report deadlines often sit across PMS fields, staff memory and separate spreadsheets. The Practice Signal Allied Health Referral & Session Tracking Toolkit brings those operational checks into one clear, reviewable Excel workflow.
This is a manual, PMS-independent toolkit designed for small Australian Allied Health practices that want better visibility without a software migration or technical integration.
What it helps you do
· View active cases and the highest-priority follow-up from one dashboard.
· Calculate approved, completed and remaining sessions.
· Flag referrals that are expiring or expired.
· Flag reports that are due soon or overdue.
· Assign one Critical, High, Medium or Routine priority to each active case.
· Generate one recommended operational action per case.
· Adjust warning thresholds to match your practice processes.
· Confirm dashboard priority totals match active cases with a built-in integrity check.
What’s included
· MASTER Excel workbook — blank and ready for your practice.
· DEMO Excel workbook — fictional cases that show the workflow in action.
· 9-page user guide — setup, data entry, dashboard logic, privacy and licence guidance.
· 2-page setup and weekly review checklist — a compact operating rhythm for the nominated coordinator.
Delivery
The buyer receives one ZIP file immediately after purchase and by email receipt. Start with the DEMO workbook, then create the approved working copy from the MASTER.
Designed for
· Australian Allied Health practices.
· Private, Medicare/EPC, NDIS, WorkCover and DVA funded episodes.
· Practices able to nominate one person to own a weekly reconciliation routine.
· Teams wanting a practical visibility layer alongside their existing PMS.
How it works
1. Enter or update a non-identifying case reference, referral and report dates, and approved and completed sessions.
2. Built-in formulas calculate sessions remaining and compare each active case with the thresholds on the Config sheet.
3. The dashboard shows one priority and one recommended operational action for each active case.
4. Review the dashboard weekly, complete the follow-up, then update the tracker.
5. Close completed cases and retain the file according to your practice policy.
Compatibility
· Built for Microsoft Excel; Excel desktop is recommended.
· Google Sheets compatibility is not guaranteed. Formulas, formatting and protection may require adaptation.
· No PMS, accounting, funding portal or messaging integrations are included.
Important limits
· This is an administrative operational tool only. It is not a clinical record, medical device, funding eligibility system, legal compliance tool or PMS replacement.
· Your practice remains responsible for checking information against its authoritative PMS, funding source and privacy requirements.
· Use non-identifying case references only. Do not enter diagnoses, clinical notes or unnecessary personal information.
Licence
One purchasing legal entity may use and modify the files internally for its staff and contractors. Resale, redistribution, public upload, template sharing and sublicensing are not permitted. Copyright © Nadia Makouri / Practice Signal.
