Gym Profit Tracker Excel for fitness studios and gyms — memberships, MRR and churn, class revenue and trainer pay, monthly expenses, and a monthly Profit and Loss dashboard. Know what every plan and every class actually earns — and whether the month actually made money.

Built for gym, fitness studio, yoga studio, and boutique fitness owners who need to know, plan by plan and class by class, whether the memberships cover the rent and the trainers — without accounting software. If a class is losing money after trainer pay, this workbook flags it before the next schedule goes up.

WHAT'S INCLUDED (6 sheets):

- Memberships — monthly fee, members, new and churned members, monthly revenue, churn rate, and share of MRR for every plan. Total MRR, average fee per member, overall churn rate, and your best plan by revenue at the bottom. Change a fee or a member count and the whole workbook follows.

- Classes and Trainers — trainer, sessions per month, average drop-ins per session, drop-in price, class revenue, trainer pay per session, trainer cost, class profit, and profit margin for every class. Class revenue is drop-in and pay-per-class income only — member classes included in a membership are not counted here, so nothing is double-counted.

- Expenses — monthly amount and share of total for rent, equipment, utilities, insurance, marketing, software, cleaning, maintenance, staff wages, and other. Trainer pay lives on sheet 2, so it is not counted twice.

- Monthly Profit and Loss — members, membership revenue, class revenue, other revenue, trainer cost, and operating expenses by month, Jan-Dec, with net profit, margin, and revenue per member. All formulas from sheets 1 to 3.

- Dashboard — total revenue, MRR, members, churn, sessions, class profit, expenses, net profit and margin, best class, lowest-margin class, largest expense category, and membership mix by share of MRR.

- Cover and How to Use — start here. Yellow cells are the only ones you edit.

EXAMPLE DATA (October 2026 — replace with your own numbers):

- Memberships: 370 members (41 new, 20 churned); MRR 15,860; average fee per member 42.86; overall churn rate 5.1 percent. Best plan is Standard at 4,655 per month, 29.4 percent of MRR.

- Classes: 94 sessions, 700 drop-in guests; class revenue 9,992; trainer cost 4,890; class profit 5,102; average profit per class 637.75.

- Best class by profit: Spin, profit 994. Lowest-margin class: Pilates, margin 33.3 percent. Best margin: Zumba at 60.0 percent.

- Expenses: operating expenses 13,230; largest category Rent at 4,800; cost per member 35.76.

- Total revenue 28,252 (memberships 15,860, classes 9,992, other 2,400); total expenses 18,120; net profit 10,132; margin 35.9 percent; revenue per member 76.36.

HOW IT WORKS:

1. Download the Excel file instantly after purchase.

2. On sheet 1, enter each plan's monthly fee and how many members are on it, plus new and churned members for the month. MRR, churn rate, and average fee fill in by formula.

3. On sheet 2, enter each class's sessions per month, average drop-ins per session, drop-in price, and trainer pay per session. Class revenue, trainer cost, profit, and margin fill in by formula.

4. On sheet 3, keep the monthly expenses current — rent, equipment, utilities, insurance, marketing, software, cleaning, maintenance, staff wages, and other.

5. On sheet 4, enter other revenue (personal training, merch, smoothies) each month. Check net margin on the Dashboard — under 20 percent means costs need a look.

HOW THE NUMBERS WORK:

MRR is the monthly fee times members, added across all plans. Churn rate is churned members divided by members plus churned. Class revenue is sessions times average drop-ins times drop-in price; class profit is class revenue minus trainer cost. Net margin is net profit divided by total revenue. Cost per member is operating expenses divided by total members — compare it with the average fee per member on sheet 1.

WHO IT'S FOR:

Gym, fitness studio, yoga studio, Pilates studio, and boutique fitness owners who want memberships, MRR, churn, class profit, trainer pay, and a monthly Profit and Loss in one workbook — without accounting software.

PLEASE NOTE:

- This is a digital download. No physical item will be shipped.

- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).

- Example data for October 2026 is included (6 plans, 370 members, 8 classes, 94 sessions, 10 expense lines). Replace it with your own numbers.

- The example is simplified: owner salary, loan payments, and depreciation are not in it, so the example margin is higher than a fully-loaded real month.

- This is a bookkeeping and planning tool only, not tax, legal, or CPA advice.

- Due to the nature of digital downloads, refunds are not available. Message me before buying if you have a question.
