Rental & Airbnb Revenue Reconciliation Tracker
Airbnb Rental Revenue Reconciliation Tracker Excel with payout check, booking log, and monthly P&L by property. Know what you earned, what the platform paid, and what is still missing.
Built for Airbnb, Vrbo, and direct-booking hosts who need clean rental books without accounting software. Log a booking, reconcile the payout, and see profit by property.
WHAT'S INCLUDED (6 sheets):
- Booking Log — log every booking: date, property, platform, guest, nights, gross booking, platform fee, cleaning fee, and taxes collected. Payout Expected is calculated for you: gross booking minus platform fee plus cleaning fee.
- Payout Reconciliation — one row per booking, in the same order as the Booking Log. Expected payout is pulled in automatically. Enter the amount that actually hit your bank. The difference must be 0.00 — if it is not, a fee was withheld or a payout was short.
- Expense Log — log every rental cost by category: cleaning, supplies, maintenance, utilities, insurance, mortgage interest, and more. Mark each one deductible or not, and see totals by category.
- Monthly P&L by Property — revenue, expenses, and net profit per property for Jan-Dec, plus totals, nights booked, and occupancy. All formulas, no retyping.
- Dashboard — annual gross revenue, platform fees, net revenue, expenses, net profit, occupancy rate, average nightly rate, average payout per booking, payout differences outstanding, and profit by property.
- Cover & How to Use — start here. Yellow cells are the only ones you edit.
HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. Replace the yellow example cells with your own bookings and expenses.
3. Log a booking when it is made, then reconcile the payout when the money arrives. Check the P&L and Dashboard monthly.
HOW THE MONEY WORKS:
Taxes collected are pass-through money — the platform collects and remits them — so they are tracked in the Booking Log but are NOT counted as revenue. Net revenue is gross booking plus cleaning fees minus platform fees, and it must equal total payouts received.
WHO IT'S FOR:
Airbnb and Vrbo hosts, short-term rental owners, and property managers with one or more rentals who want to prove every payout and see which property actually makes money.
