Lawn Care & Landscaping Profit Tracker
Lawn Care Profit Tracker Excel with job log, route profit, fuel and equipment costs, monthly P and L, and a dashboard. Know what every job and every route actually made — after fuel, materials, equipment, and insurance.
Built for lawn care and landscaping owners who need to know, job by job, whether the price covers the gas, the materials, and the drive — without accounting software. If a route is losing money, this workbook shows you while there is still time to reprice it or drop it.
WHAT'S INCLUDED (6 sheets):
- Jobs — every job: date, client, service, route, price, and hours. Materials, fuel, and other costs are pulled from the Fuel and Equipment sheet by formula, and total cost, profit, and margin calculate automatically. A job with negative profit is flagged.
- Routes — every route: day, stops, miles, revenue, costs, and profit per stop and per mile. All formulas from the Jobs sheet, so you can see which route earns the most per mile.
- Fuel and Equipment — every expense, tied to a job or marked Overhead: fuel, materials, equipment, maintenance, insurance, and other. This is the master expense record — the Jobs, P and L, and Dashboard all read from it, so nothing is counted twice.
- Monthly P and L — per month: jobs, hours, revenue, expenses, net profit, margin, and revenue, cost, and profit per job and per hour. All formulas from sheets 1 and 3.
- Dashboard — total revenue, total costs, total profit and margin, profit per hour and per mile, best and worst jobs, best route, best month, and costs by category.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.
EXAMPLE DATA (2026, 30 jobs, Jan-Oct, 5 routes — replace with your own numbers):
- Total revenue 5,100; total costs 3,953; total profit 1,147; margin 22.5 percent.
- 30 jobs, 88 hours; average price per job 170.00; cost per job 131.77; profit per hour 13.03.
- Job costs 1,218; overhead costs 2,735. Costs by category: fuel 370; materials 638; equipment 1,560; maintenance 325; insurance 850; other 210.
- Total route miles 1,550; revenue per mile 3.29; cost per mile 2.55; profit per mile 0.74.
- Best job: J20, Nguyen mulch install, profit 287. Worst job: J29, Patel weed control, profit 60. Best route: West Route, profit 1,189, 4.57 per mile. Best month: July, profit 375.
- March is negative in the example (minus 795) because of a 1,200 used commercial mower purchase — the sheet shows a bad month honestly.
HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. Add a row on the Jobs sheet for every job: date, client, service, route, price, and hours.
3. Log every expense on the Fuel and Equipment sheet with the right Job ID (or Overhead) and category. A job's profit is only right if its fuel and materials are logged.
4. On the Routes sheet, enter each route's day and total miles. Stops, revenue, costs, and profit per mile fill in from the Jobs sheet.
5. Check profit per hour on the Monthly P and L weekly. If a service pays less per hour than mowing, raise its price or drop it.
HOW THE MONEY WORKS:
Profit per job is price minus materials minus fuel minus other costs on that job. Total profit is total revenue minus all expenses, including overhead like equipment, maintenance, and insurance. Profit per hour is total profit divided by total hours, and profit per mile is route profit divided by route miles. The Jobs sheet totals are job costs only, before overhead — total profit of 1,147 is on the Monthly P and L and Dashboard.
WHO IT'S FOR:
Lawn care and landscaping owners, solo operators, and small crews who want clean per-job books and a per-hour profit number they can trust before they take the next job.
