Since 1 May 2026, rent increases for most private tenancies in England must go through section 13: Form 4A, at least 2 months' notice, once a year and never in the first year. Miss a date and the increase waits. This planner works out every date for every tenancy, so you know what to serve and when.

Made for UK landlords and small letting agents. Add your tenancies and past rent changes once, enter the new rent you have in mind, and the planner works out the earliest legal date, the last day to serve Form 4A, and what each rise adds to your rent roll, checked against local adverts.

Works in Microsoft Excel and Google Sheets, with no macros.

What it does for you

  • Earliest new rent date for each tenancy: a full year after the tenancy start or the last increase, whichever is later (including increases made before 1 May 2026)
  • Serve-by date: the last day to serve Form 4A for at least 2 months' notice, with a "serve soon" warning you can set
  • Status for every tenancy: Planned, Serve Form 4A soon, Serve-by date passed, Notice served, Challenged at tribunal, Add to Rent History, Done or No increase planned
  • Checks before you serve: too early, under 2 months' notice, new rent not higher, start date not on the rent day, and text in a date or rent
  • Rent History: every past rent change, with the previous increase, the change % and a check for increases less than a year apart
  • Market Evidence: similar homes advertised nearby, with a time window, an average per property and an Above / Within flag
  • Form 4A Notice Planner: pick a property and get the landlord, tenant, address, current and new rent, dates and a 10-point checklist on one page
  • Dashboard: rent roll now and after planned rises, extra per year, next actions (most urgent first), a "What needs your attention" list and 3 charts
  • Up to 200 tenancies, 600 rent changes and 600 adverts

How it works (3 steps)

  1. Set up once: your details on Settings and one row per tenancy (about 5 minutes)
  2. Add history and plans: past rent changes, the new rent you have in mind, and local adverts
  3. Serve and log: follow the Dashboard, fill in Form 4A from the Notice Planner, record the date served, then log the new rent once it starts

Good to know

  • Cream (pale yellow) cells are for your input. White and grey cells are worked out for you, and the sheets are protected (no password) so formulas are not overwritten by mistake
  • A Health check on the Start Here tab and a Check/Status column on every log flag missing or odd entries
  • Rules follow gov.uk guidance for assured periodic tenancies in England from 1 May 2026 (Renters' Rights Act 2025): increase the rent with Form 4A (section 13) at least 2 months before the new rent starts, every time, even if your tenant agrees. Once a year and not in the first year. Rent review clauses can no longer be used. You can serve in person, by post, or by email if your tenancy allows it
  • The next increase cannot start until a year after the last one, even if that was before 1 May 2026. Form 4A allows 52 weeks (or 53 weeks); the planner uses a full calendar year, which is never earlier
  • If your tenant thinks the new rent is above the market rent, they can apply to the First-tier Tribunal before it starts. They do not pay the new rent until the tribunal decides, and it cannot be more than you proposed
  • Wales, Scotland and Northern Ireland have different rules. Social housing and some other tenancies are not covered
  • Dates show as DD/MM/YYYY
  • FAQ: Does it fill in or send Form 4A? No. It gives you every detail on one page; use the official Form 4A from gov.uk
  • FAQ: Does it work on a phone? You can view it in the Google Sheets app, but entering data is easiest on a computer
