Rent a chair? Then you're running a business — this spreadsheet runs the numbers for you.

You're brilliant with clients. The paperwork? Card fees here, product there, chair rent every week, tips in cash, and then January comes round and you're digging through your banking app trying to work out what you actually earned.

This spreadsheet fixes that. Log each client in about 10 seconds, and it tells you — every week, not just at tax time — what you really take home, whether your chair is worth the rent, and how much to put aside for HMRC.

What you'll know at a glance

Your real take-home pay — after chair rent, products, card fees and commission. Plus your take-home per hour, average ticket and tips.

Whether your chair is paying its way — a monthly "rent coverage" score, so a quiet month never sneaks up on you.

Exactly what to put aside for tax — every month and every quarter, so the Self Assessment bill is never a shock.

Your Self Assessment figures, ready — turnover, allowable expenses and net profit, with every expense already sorted into HMRC's categories.

Ready for Making Tax Digital

From April 2027, sole traders earning over £30,000 have to send HMRC quarterly updates (over £20,000 from April 2028). The tracker already splits your year into the MTD quarters (6 April – 5 April) with income, costs and due dates — and tells you which threshold you're near. When the time comes, your numbers are ready to copy into your MTD software.

Made for how you actually work

  • Pick the service — your usual price fills in. Add the tip, any retail product sold and how they paid.
  • Card fees for SumUp, Square and Zettle are worked out automatically.
  • Pay the salon a commission instead of (or as well as) rent? Set the % once.
  • Sold a product to a client? Its cost is counted for you.
  • Phone used half for work? Enter 50% and only the business part is claimed.
  • Business mileage at HMRC's 45p per mile.
  • Months follow the UK tax year, so totals match your return exactly.

Questions

Do I need Excel?

No. It works in free Google Sheets (upload to Google Drive > Open with Google Sheets) and in Microsoft Excel.

Does it file my tax return?

No — it prepares your figures. You then file on gov.uk (or through MTD software when that applies to you). It's a record-keeping tool, not tax advice.

I'm in the US — is this for me?

This version uses UK tax rules, £ and HMRC categories. There's a US edition (Schedule C, quarterly estimated tax) — message me and I'll send you the link.

Can I change the categories and prices?

Yes. Services, prices, card fees, mileage rate and tax % are all editable in Settings.

I'm not good with spreadsheets.

You only type in the cream cells — everything else calculates itself. If you get stuck, email me and I'll help you set it up.
