Food Truck Profit Tracker
Food Truck Profit Tracker Excel with menu food cost calculator, event profit by location, fuel and expenses by category, and a monthly P and L dashboard. Know what every item actually costs, what every event actually made, and whether the month actually made money.
Built for food truck owners who need to know, item by item and event by event, whether the price covers the plate, the event fee, and the fuel — without accounting software. If an item is losing money, this workbook flags it before the next menu print.
WHAT'S INCLUDED (6 sheets):
- Menu and Food Cost — plate cost (ingredients only), menu price, food cost percent, margin in dollars and percent, and a suggested price at your target food cost percent for every item. Items over target are flagged. Change a plate cost or a price and the whole workbook follows.
- Events and Locations — event, date, location, customers, food sales, drink sales, food cost, event fee, profit per event, and margin for every event. Food cost uses the blended food cost percent from the menu sheet.
- Fuel and Expenses — date, category, description, and amount for fuel, permits and licenses, supplies and packaging, maintenance and repairs, insurance, commissary, and other costs. Category totals are summed below the log.
- Monthly P and L — customers, food and drink sales, food cost, event fees, and operating expenses by month, Jan-Dec, with net profit, margin, food cost percent, and average spend per customer. All formulas from sheets 1 to 3.
- Dashboard — total sales, customers, average spend per customer, food and event costs, net profit and margin, best and worst events, your highest-margin and highest-cost items, and costs by category.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.
EXAMPLE DATA (June 2026 — replace with your own numbers):
- Total sales 21,060 (food 18,075, drinks 2,985) from 1,780 customers; average spend per customer 11.83; average sales per event 1,755.
- Blended food cost 25.3 percent (food items only); food cost 4,569.39. Event fees 2,175; operating expenses 2,071.00; total expenses 8,815.39; net profit 12,244.61; margin 58.1 percent.
- Event profit (sales minus food cost minus event fees) is 14,315.61, or 68.0 percent of sales, before fuel and other operating expenses.
- Costs by category: Fuel 419.50, Permits and Licenses 205.00, Supplies and Packaging 401.50, Maintenance and Repairs 280.00, Insurance 240.00, Commissary 450.00, Other 75.00.
- Best event: Music Festival, Saturday June 20, sales 3,240, profit 2,042.27. Worst event: Office Park Lunch, Wednesday June 17, sales 790.
- Menu example: average plate cost 1.92, average menu price 7.50, average margin 76.1 percent. 2 of 14 items sit over the 30 percent target food cost percent.
- Carne Asada Burrito is the highest-margin item (8.25 per item) and also over target at 31.3 percent food cost: plate cost 3.75, menu price 12.00, suggested price at the 30 percent target 12.50. Smash Burger is the highest food cost item at 33.0 percent, margin 7.70, suggested price 12.67.
HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. On sheet 1, enter each item's plate cost and menu price, and set your target food cost percent at the top (30 percent is a common target for food trucks).
3. On sheet 2, log each event: name, date, location, customers, food sales, drink sales, and the event fee. Food cost, profit, and margin fill in by formula.
4. On sheet 3, log fuel, permits, supplies, maintenance, insurance, commissary, and other costs as they happen, and pick the category from the list.
5. Check the Dashboard after each event. If food cost percent creeps over your target, re-price the flagged items on sheet 1.
HOW THE NUMBERS WORK:
Food cost percent is plate cost divided by menu price. Suggested price is plate cost divided by your target food cost percent. Blended food cost percent is the average food cost percent of food items only (drinks are excluded, because they cost almost nothing to make). Event profit is total sales minus food cost minus the event fee — fuel and other operating expenses are not in it; net profit on the P and L and Dashboard includes everything. Average spend per customer is total sales divided by customers.
WHO IT'S FOR:
Food truck, food trailer, and mobile food vendors who want plate costs, event profit, fuel and expenses, and a monthly P and L in one workbook — without accounting software.
PLEASE NOTE:
- This is a digital download. No physical item will be shipped.
- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).
- Example data for June 2026 is included (14 menu items, 12 events, 1,780 customers, 17 expense rows). Replace it with your own numbers.
- The example is owner-operated: no labor line is included, so the example margin is higher than a fully-loaded real month. Add a labor row to the P and L if you pay staff.
