Know exactly what to charge for every catering event. Type what the event needs (guests, buffet or plated, appetizers, desserts and server hours) and this calculator gives you a price that pays you, covers your business costs and leaves a profit, plus a price list built from your own rates. It also builds a one-page quote you can send to your customer, so you look professional when you quote.

WHAT YOU GET

  • Price a Job: see the price to quote, your time on site, your profit and what you really earn per hour
  • Customer Quote: a one-page quote that fills in from your price and your business details, so you look professional when you send it. Optional deposit, valid-until date and editable sample terms. Download it as a PDF in Google Sheets. Your costs never show
  • How hard the job is (easy, normal, hard), repeat-client discounts and a rush or holiday surcharge, one click each
  • Type the guest count once and switch food rows to every guest. The service charge, sales tax and deposit to book are added for you
  • Your price list, built for you: a price for every service and for typical jobs, ready for your website, flyer or quotes
  • My Rates: your hourly rate worked out from four numbers: what you want to pay yourself, monthly costs, billable hours and profit margin
  • Pre-filled with typical times and supply costs for buffet and plated meals, appetizers, desserts, servers, setup and breakdown, disposables and delivery, with ingredients counted per guest. Change any of them and every price updates
  • Checks in plain words: when a small job is raised to your minimum, and when a price pays you less than your goal

HOW IT WORKS

1. Check your rates. They start at typical catering numbers.

2. Type what the job needs. Quote the price.

3. Add the customer's address on Quote Details, then download the Customer Quote tab as a PDF (Google Sheets: File > Download > PDF).

FORMAT

Excel (.xlsx). Works in Google Sheets (free) and Microsoft Excel. Opens with a sample job so you can see it working. Formulas are protected (no password), so nothing breaks while you type. Instant download.

WHO MADE THIS

Built by someone who develops pricing and financial models for multi-million-dollar enterprise contracts for a living. Same discipline, scaled down for a small catering business.

GOOD TO KNOW

  • Digital download: nothing is shipped.
  • The Customer Quote page was tested in Google Sheets. Its terms are sample wording, so edit them to suit your business. The quote number is typed in, and you add your logo yourself.
  • For use in your own business. Please don't resell or share the file.
  • Times and costs are typical starting points, not quotes, tax or legal advice. Time a few of your own jobs and adjust.
  • Questions? Message the shop or email tidyrate@outlook.com.
You will get a ZIP (23KB) file
