This agreement outlines the terms and conditions between the event organizer ("Renter") and Vybez ("Venue") for temporary use of the event space. By completing payment, the Renter agrees to the following terms.
1. Booking & Payment
- A non-refundable payment is due in full at the time of booking to secure the space.
- Booking is only confirmed once payment is completed and written approval has been granted by Vybez.
- Booking includes only the date and time block listed in the confirmation.
2. Use of Space
- The Renter agrees to use the space only for the stated event type described in the rental request.
- The Renter is responsible for all guests, vendors, and invitees during the rental period.
- No subleasing or transferring of the booking is allowed without written approval from Vybez.
3. Rental Duration
- Rental duration includes 30 minutes before and 30 minutes after the scheduled event for setup and cleanup.
- Additional time may be subject to additional fees if not arranged in advance.
- Any overtime beyond the agreed rental block will be charged at the current hourly rate.
4. Capacity & Conduct
- Maximum guest count must be disclosed prior to the event. Exceeding capacity may result in event termination.
- The Renter agrees to ensure respectful and lawful behavior from all attendees.
- The Renter is liable for any damage to the property or equipment during their event.
5. Restrictions
- No smoking, open flames, or illegal substances are allowed on the premises.
- Noise levels must comply with local ordinances and venue policies.
- Alcohol may be permitted only with prior approval and, where required, proper permits.
6. Setup & Cleanup
- The Renter is responsible for basic cleanup:
- Removal of decorations, food, and trash
- Returning furniture or equipment to original location
- All personal belongings must be removed at the end of the rental period. Items left behind may be discarded.
- Vybez does not provide event setup or breakdown services unless specifically included in a separate agreement. The Renter is responsible for coordinating their own event setup within the rental window.
7. Decorations Policy
- All decorations must be freestanding or attached with non-damaging materials (e.g., painter’s tape).
- Use of nails, tacks, screws, or adhesives that damage walls or surfaces is prohibited.
- No glitter, confetti, or open flame candles are allowed.
8. Vendor Access
- Vendors may access the venue only during the scheduled rental period.
- Early access must be arranged in advance and may result in additional fees.
- All vendors must comply with Vybez policies.
9. Damage & Incident Reporting
- Any damage to the venue or its equipment must be reported to Vybez staff immediately.
- The Renter is financially responsible for repair or replacement of any damaged property.
10. Security Deposit (if applicable)
- A refundable security deposit of $125 may be required depending on the event type.
- This deposit will be returned within 7 business days after the event, provided no damages or policy violations occur.
- Deductions may be made for repairs, cleaning, or overtime charges.
11. Cancellations & Refunds
- All rental payments are non-refundable.
- Requests to reschedule must be submitted at least 7 days prior to the scheduled event and are subject to availability.
- No-shows or cancellations within 7 days of the event are not eligible for rescheduling.
12. Liability & Insurance
- The Renter agrees to indemnify and hold harmless Vybez, its staff, and affiliates against any claims, injuries, damages, or expenses arising from the event.
- Vybez is not responsible for lost, stolen, or damaged personal items.
- Depending on the event type, the Renter may be asked to provide proof of liability insurance.
13. Emergency Protocol
- In case of an emergency during the event, call 911 and notify the Vybez contact provided in the confirmation email.
- For facility-related issues (e.g., power outage, water issues), contact onsite staff immediately.
14. Force Majeure
- Vybez is not liable for any interruption or cancellation of the event due to causes beyond its control, including but not limited to natural disasters, utility outages, or government mandates, or acts of God.
- In such cases, efforts will be made to reschedule the event.
15. Photo & Media Release
- Vybez reserves the right to take photos or videos of the space during events for marketing purposes unless otherwise requested in writing by the Renter prior to the event.
16. Agreement Acceptance
- By completing payment, the Renter acknowledges that they have read, understood, and agree to abide by all terms outlined in this agreement.
