The food safety officer asks to see your temperature and cleaning records, and they are on scraps of paper or nowhere at all. These Food Safety Record Sheets are a fillable PDF with every everyday record a UK kitchen keeps in one tidy A4 set: fridge and freezer temperatures, cooking, hot holding, cooling, deliveries, probe checks, cleaning, training, allergens and a 4-weekly review. Type on screen and save, or print and fill in by hand.

For UK cafés, restaurants, pubs, takeaways, home bakers, caterers, food trucks and market stalls, and for care home, nursery and school kitchens. Works alongside the FSA's free Safer Food, Better Business (SFBB) pack or your own HACCP-based system. Not for you if you need the safe methods or a HACCP plan itself, or an app with alerts.

▶ Easy Start Here guide included – video tutorial coming to our YouTube channel

Fillable PDF: type into it in the free Adobe Acrobat Reader, or in Chrome, Edge or Firefox on a computer, then save. Prefer paper? Print the PRINT file at A4.

What it does for you

  • Start Here page: what the records do, why you can rely on them and a 3-step plan, with the official sources
  • Business details and key contacts, with the key temperatures at a glance
  • Daily diary for opening and closing checks, plus a weekly opening and closing checklist you can edit
  • Fridge and freezer temperature record: up to 4 units, AM and PM, a whole month on one page, with an action column

  • Staff training record with refresher dates, and a 14-allergen matrix for every dish
  • 4-weekly review with yes or no questions and what you will change
  • NEW in v5: premium cover and contents, Start Here page, bookmarks, a separate PRINT file and a filled-in EXAMPLE from a fictional café

How it works (3 steps)

  1. Open Food-Safety-Record-Sheets-BLANK.pdf in Adobe Acrobat Reader (free) or your browser. Fill in the cover and Business Details, name your fridges and freezers, and write your cleaning schedule (about 15 minutes). Save
  2. Every day: tick the opening and closing checks and record fridge, cooking and hot holding temperatures. Press Tab to move to the next box, click a tick box to tick it, then save. Or use the printed sheets
  3. Every 4 weeks: do the review sheet. Then save a fresh copy of the BLANK file for the next period and keep the old one

What's included

  • Food-Safety-Record-Sheets-BLANK.pdf: the fillable record sheets, 16 A4 pages (cover, Start Here and 14 sheets)
  • Food-Safety-Record-Sheets-EXAMPLE.pdf: the same sheets filled in for a fictional café, so you can see what good records look like
  • Food-Safety-Record-Sheets-PRINT.pdf: a clean version without boxes, for printing and filling in by hand
  • Start-here.pdf: a short guide to filling in, saving and printing

Compatibility

  • Fillable on a computer in Adobe Acrobat Reader (free, recommended) and in Chrome, Edge and Firefox. We tested typing, ticking, saving and reopening in the PDF engines these browsers use
  • On a Mac, Adobe Acrobat Reader is recommended. Apple Preview and phone or tablet PDF apps handle forms differently, so fill in one page and save as a test first
  • Prints on A4: choose "Actual size" in the print settings
  • Standard PDF: no macros, no account, no subscription

Good to know

  • Temperatures follow GOV.UK and FSA guidance: chilled food 8°C or below (the legal limit in England, Wales and Northern Ireland), cooking to 70°C for 2 minutes, hot holding at 63°C or above, frozen food at −18°C or below. Reheating in Scotland: 82°C. Follow your own food safety system where it says more
  • Dates are DD/MM/YYYY. Save a copy after each session, and keep old records
  • A video tutorial is coming to our YouTube channel. Questions? Message PHKSheets
  • FAQ: Is this the official SFBB pack? No. SFBB is free from the Food Standards Agency and sets out your safe methods. These sheets are an independent set of records you can use alongside it or alongside your own HACCP-based system.
  • FAQ: What if a sheet is full? Each sheet covers a set period (for example one month of fridge temperatures). Save a fresh copy of the BLANK file, or print extra pages from the PRINT file.
  • FAQ: Does it work in Scotland? Yes. The sheets show the Scottish reheating temperature of 82°C. Food Standards Scotland has its own CookSafe system, which these records can sit alongside.
