There are twelve emails most parents end up writing to a school at some point. The ones about a diagnosis. The ones asking for an accommodation. The ones about a missed assignment, a decision that does not sit right, a day off that is not officially sick. The ones that need to be written when you are tired, and need to sound like the version of you that is not.

This is that set, already written.

Each template is built so it can be sent as it stands. The brackets mark the only places you must change something — usually a name, a date, or one specific detail. Everything else — the structure, the tone, the line that quietly creates a written record without sounding combative — is already done.

The templates assume you know your child and your situation better than the school does. They do the work of translating that knowledge into the kind of message a school will respond to: specific, procedural, and clear. Warm where warmth helps. Cold where the record needs to be cold.

What is in the set

Twelve templates, each on its own page, each with a subject line, a body, and a short note explaining when to use it and what it is doing strategically. A short opening on how to use them. A short closing on what to check before you press send. Sixteen pages in total.

The twelve templates

01 — Letting the school know about a diagnosis 02 — Asking for an accommodation, first request 03 — Asking for an accommodation, second request 04 — Reporting that something went wrong 05 — Disagreeing with a decision the school made 06 — Pulling a child out for a mental health day 07 — Explaining a missed assignment 08 — Asking for a meeting 09 — Declining a meeting that is not working 10 — Asking the teacher to stop a specific behavior 11 — Following up after no reply 12 — Withdrawing from communication

Format

PDF, US Letter, sixteen pages. Designed to be read on a phone, printed, or copied directly into an email or school portal. No login. No software required.

What this will not do

It will not solve a school that has decided not to listen. It will not make a hard conversation easy. It will reduce the friction of writing the next message, on the next day, when you are already tired. That is what it is for.
