Moving Company Profit Tracker
Moving Company Profit Tracker Excel for your moving business — service rates per crew-hour, job profit, crew hours and trucks, and a monthly P and L dashboard. Know what every crew-hour actually costs — and whether the month actually made money.
Built for moving companies, movers, and small moving crews who need to know, service by service and job by job, whether the price covers the crew, the truck, and the fuel — without accounting software. If a job is losing money, this workbook shows it before the next quote.
WHAT'S INCLUDED (6 sheets):
- Services and Rates — crew-hours per typical job, labor and packing materials cost per job, cost per crew-hour, price per crew-hour, and margin in dollars and percent for every service. Change a labor rate and every job profit updates by formula.
- Jobs — date, customer, job type (Local, Long-Distance, Packing-Only, Storage), service, crew-hours, price per crew-hour, revenue, cost per crew-hour pulled from the rates sheet, profit per job, and margin. Log local, long-distance, packing-only, and storage jobs in one place.
- Crew and Trucks — date, crew member, job, hours, hourly rate, labor cost, truck, miles, and fuel cost for every crew shift. Totals show crew pay, miles driven, and fuel cost for the month.
- Monthly P and L — revenue, job cost, truck and fuel, insurance, and other expenses by month, Jan-Dec, with net profit and margin. Revenue and job cost are formulas from the Jobs sheet.
- Dashboard — total revenue, jobs, crew-hours, average job value, gross and net profit and margin, best service by margin dollars and by margin percent, best-selling service, best job and best job type, costs by category, crew labor cost, and fuel cost.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.

HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. On sheet 1, enter each service's crew-hours per typical job, labor cost per job, truck and fuel cost per job, and price per crew-hour. Cost per unit and margin fill in by formula.
3. On sheet 2, log every job: date, customer, job type, service (spelled exactly as on sheet 1), quantity, and unit price. Revenue, cost per unit, and profit fill in by formula.
4. On sheet 3, log each crew shift: crew member, job, hours, hourly rate, truck, miles, and fuel cost. Labor cost fills in by formula.
5. On sheet 4, enter truck and fuel, insurance, and other expenses each month, then check gross and net profit on the Dashboard.
HOW THE NUMBERS WORK:
Cost per crew-hour is (labor cost per job plus packing materials cost per job) divided by crew-hours per typical job. Margin per crew-hour is price per crew-hour minus cost per crew-hour. Margin percent is margin per crew-hour divided by price per crew-hour. Gross profit is revenue minus job cost; net profit is revenue minus job cost, truck and fuel, insurance, and other expenses. Truck and fuel are a monthly expense on the P and L, not part of the per-job cost. One unit is one crew-hour.
WHO IT'S FOR:
Moving companies, movers, and small moving crews who want service rates, job profit, crew hours and trucks, and a monthly P and L in one workbook — without accounting software.
PLEASE NOTE:
- This is a digital download. No physical item will be shipped.
- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).
- Example data for October 2026 is included (10 services, 18 jobs, 119 crew-hours, 14 crew shifts). Replace it with your own numbers.
- The example is simplified: long-distance jobs are priced per crew-hour in the example, so add a per-mile charge on sheet 1 if you price long-distance by the mile. Check your local licensing, insurance, and weight rules for moving work.
