Wholesale & Consignment Stockist Tracker: Consignment Stock, Payouts Owed, Wholesale Orders + Profit per Shop Spreadsheet (Google Sheets & Excel)
Selling through other shops is easy to start and hard to keep track of. Stock is spread across several shelves, every shop has its own split and payout cycle, and wholesale invoices come due on different dates. This tracker keeps all of it in one workbook and shows which stockists actually make you money.
What's inside (14 tabs)
- Start Here: setup steps, a consignment and a wholesale workflow, and how every number is worked out.
- Dashboard: tiles for revenue to you, net profit, owed to you, shops to chase, active stockists, units at shops, stock at shops (at cost) and units sold. A profit-by-stockist chart, a consignment-vs-wholesale chart, a ranked profit table, a "Who owes you" list with heads-up alerts, and a channel comparison.
- Stockist Report: pick a shop to see its profit and loss, money owed, stock by product (delivered, sold, returned, lost, still at the shop, your payout), its wholesale orders, last payout and next payout due.
- Stockists: up to 40 shops, each with type (Consignment, Wholesale or Both), status, contact, your share %, payout cycle, payment terms, start date and term end. Each row shows units at the shop, what it owes you, its profit and a heads-up flag.
- Consignment Log: up to 2,000 movements (Delivered, Sold, Returned or Lost). Each row works out the retail value, your share %, your payout, cost of goods and profit. A Check column flags unknown shops or SKUs, missing info and selling more than you delivered.
- Wholesale Orders + Order Lines: up to 300 orders and 1,500 lines. Shipping charged and paid, discounts, due dates from each shop's terms, deposits, balance, payment status (Paid, Due, Overdue, Deposit paid, Below minimum) and profit per order.
- Payments In: consignment payouts and invoice payments, up to 500. Leave the Order # blank for a payout, or pick an order.
- Expenses: charge them to one shop or keep them general, by channel and category.
- Products: up to 150 SKUs. The first six columns (SKU to retail price) match the Useful Plays Small Shop Profit & Inventory Tracker. It shows wholesale price and margin, suggested wholesale and retail from your markups, a price check (below keystone or below your cost markup), your consignment payout and margin, and stock at shops, sold, shipped, lost and at home.
- Line Sheet: a printable wholesale price list with case packs, wholesale and retail prices, an order-qty column and a minimum-order check.
- Order Form: pick an order # to print a clean order confirmation or invoice: your details, the shop's, dates, terms, lines, discount, shipping, paid and balance due.
- Stockist Summary: every stockist in one table (stock, sales, costs, revenue, profit, margin, received, owed, last and next payout, overdue invoices), plus consignment vs wholesale and month by month.
- Setup: business name and contact, wholesale % of retail, markup targets, default split, payout cycle, payment terms, minimum order, grace days, and your own lists.
Two versions included: one with a fictional candle maker selling through 8 shops, so you can see it working, and a BLANK version ready for your own stockists.
How the numbers work
- Your consignment share = retail value sold x your share % (each shop's own split, or the default on Setup).
- Owed to you = consignment share earned minus payouts received, plus unpaid balances on shipped wholesale orders.
- Profit per stockist = revenue to you (your consignment share + wholesale sales after discounts + shipping you charged) minus cost of goods sold, lost stock at cost, your shipping and expenses charged to that shop.
- Chase payout appears when a shop's next payout (last payout, or first sale, plus its payout cycle) is more than your grace days late.
Good to know
- The splits, terms, markups and prices in the sample are examples only. Enter what you've agreed with each shop.
- This is a tracking tool, not a consignment agreement or contract. No agreement templates are included.
- Sales tax isn't calculated.
- Heads-up flags and "days late" use today's date, so they update each time you open the file.
- The Stockist Report shows up to 12 products and 8 orders per shop, the Order Form 25 lines and the Line Sheet 60 products. Each one notes when there's more.
