Good Faith Estimate Tracker for Therapists | GFE Issue Date, Delivery, Expiry & Reissue Log | Notion Template + Google Sheets
Keep every Good Faith Estimate you issue organized, without digging through emails and folders.
This tracker logs each estimate's issue date, delivery method and delivery date. It works out the expiry date (12 months after issue by default) and counts down the days left. When a client's session fee changes or an estimate is about to lapse, it flags that a reissue looks needed. Each reissue is recorded with the old and new estimate, the date, the reason and the fee difference.
Two ways to use it (both included):
- Notion template: one click to Duplicate into your workspace. The GFE Hub has 3 linked databases (Clients, Estimates, Reissue History) with relations, rollups and formulas already set up. Views: All Clients, Needs Reissue, Current Estimates, Reissue Needed, Expiry Calendar and Reissue Log, plus a "Needs attention" list on the hub page.
- Google Sheet: a Dashboard plus Clients, Estimates, Reissue History and Lists tabs, with dropdowns, automatic expiry dates and days left, fee-change and reissue flags, and colour highlights.
What you get (instant digital download, one ZIP):
- Google Sheet tracker (.xlsx; open it in Google Sheets)
- One-page Setup Guide (PDF + DOCX) with the Notion template link
- Backup kit for building the Notion version by hand: 3 CSV files, a database structure doc, and an illustrated step-by-step walkthrough (PDF)
The 12-month expiry and 30-day reminder window are settings you can change. They're reminders you choose, not rules. Fictional sample data is included so you can see how everything works; delete it when you're ready.
Please note: this is a date and admin tracker only. It doesn't decide whether, when or how a Good Faith Estimate is required, or what one must contain, and it doesn't create the estimate document itself.
