UK Side-Hustle & Online Seller Profit + Tax Tracker: Excel Spreadsheet for Etsy, eBay, Vinted & Payhip Sellers (£1,000 Trading Allowance + MTD)
Selling on Etsy, eBay, Vinted or Payhip and not sure what you actually make, or whether HMRC needs to hear about it? This Excel tracker is built for UK sellers. Everything is in pounds, organised by the 6 April tax year and checked against GOV.UK rules.
Log each sale and the tracker works out your real profit after platform fees, postage and the cost of the item. Expenses are recorded under HMRC's own self-employment categories. The dashboard shows how your income compares with the £1,000 trading allowance, and the Quarterly MTD summary sets out your figures in the standard Making Tax Digital quarterly periods, with the deadline for each.
Features
• Sales log with automatic net profit and margin. Leave the fee blank and it is estimated from that platform's default %
• Expenses log with HMRC categories, a business-use % for mixed costs and automatic exclusion of non-allowable costs
• Dashboard: monthly sales and profit chart, profit by platform, KPI cards, tax-year totals
• £1,000 trading allowance meter, plus a comparison of the allowance against claiming your actual expenses
• MTD threshold check (£50k / £30k / £20k) and quarterly totals for 6 Apr–5 Jul, 6 Jul–5 Oct, 6 Oct–5 Jan and 6 Jan–5 Apr
• Import helper that turns Etsy, eBay and Payhip CSV exports (and rows copied from Vinted) into Sales log rows, using formulas only
• One-click tax-year selector, plus a setting so stock costs are never counted twice
No macros, no subscription, no bank connection. Your data stays in your own file.
This is a record-keeping tool, not tax advice and not MTD-compatible software.

FAQ
Do I have to pay tax on my side hustle?
It depends on your circumstances. GOV.UK says up to £1,000 of gross trading income a year is covered by the trading allowance, and that selling your own unwanted things is unlikely to be taxable. This tracker shows where you stand against the allowance, but it can't give tax advice. If you're unsure, check GOV.UK or ask an accountant.
Can I submit my Making Tax Digital updates with this spreadsheet?
Not on its own. MTD quarterly updates have to be sent from HMRC-recognised software. The tracker prepares the quarterly totals in HMRC's categories, which you can type into MTD software or use with spreadsheet "bridging" software.
Does it connect to Etsy or eBay automatically?
No. That keeps it private and macro-free. You download each platform's CSV, paste it into the Import helper and copy the converted rows into the Sales log. Vinted doesn't offer a sales CSV, so you copy those rows across from Vinted's data download.
Can I use it for more than one tax year?
Yes. The Sales log has 2,000 rows and the Expenses log 600. Choose any tax year from 2024-25 to 2029-30 on the Start Here sheet and every total updates.
