Cleaning Business Profit Tracker
Cleaning Business Profit Tracker Excel with client roster, recurring job log, supplies and mileage expenses, monthly P and L, and dashboard. Know what every cleaning job actually made — after mileage, supplies, and overhead — and which clients earn it.
Built for house cleaners, maid services, and small cleaning businesses who need to know, job by job, whether the price covers the drive — without accounting software. If a client costs more in miles and supplies than the visit pays, this workbook shows you while there is still time to reprice or let them go.
WHAT'S INCLUDED (6 sheets):
- Clients — your recurring clients: service type, frequency, price per visit, visits per month, and miles per visit. Monthly revenue, jobs, revenue, miles, profit, and margin per job are all formulas from the Jobs sheet, so the roster always matches the log.
- Recurring Jobs — every job: date, client, service type, hours, price, and miles. Mileage cost, profit, and margin calculate automatically from the mileage rate in B5. A job with negative profit is flagged.
- Supplies and Mileage — every expense, by category: supplies, equipment, marketing, insurance, and other, plus fuel and vehicle cash records and a mileage summary. This is the master expense record — the P and L and Dashboard all read from it.
- Monthly P and L — per month: jobs, hours, revenue, mileage cost, supplies and other expenses, net profit, margin, and revenue and profit per hour. All formulas from sheets 2 and 3.
- Dashboard — total revenue, total costs, total profit and margin, revenue and profit per hour, best client by revenue and by profit, highest margin per job, best and worst months, and costs by category.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.
EXAMPLE DATA (2026, solo cleaner in Phoenix, 10 recurring clients, 210 jobs, Jan-Oct — replace with your own numbers):
- Total revenue 46,405; total jobs 210; total hours 675.5; total business miles 3,456.
- Mileage cost 2,505.60 (3,456 miles at 0.725 per mile); supplies and other expenses 4,710; total costs 7,215.60.
- Total profit 39,189.40; overall margin 84.5 percent. Profit is before your own pay and taxes.
- Average price per job 220.98; revenue per hour 68.70; profit per hour 58.02.
- Monthly recurring revenue 4,560. Best month: October, profit 4,364.00. Worst month: June, profit 3,380.60, because of a 450 steam cleaner purchase. July is the lowest-revenue month (4,280) because a client skipped 2 visits on vacation — the sheet shows a slow month honestly.
- Best client by revenue and by profit: Bright Office Suites, revenue 15,580, profit 15,104.40, margin per job 96.9 percent. Next by revenue: Sunrise Dental Office 6,200, Sarah Mitchell 5,320.
- Costs by category: supplies 2,315; equipment 855; marketing 465; insurance 850; other 225. Fuel cash 1,033 and vehicle cash 110 are tracked for reference only and are not in the P and L, because mileage covers vehicle use.
HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. On sheet 1, replace the example clients with yours: service type, frequency, price per visit, visits per month, and miles per visit (round trip).
3. Log every job on sheet 2: date, client, service type, hours, price, and miles. Mileage cost, profit, and margin calculate automatically.
4. Log every expense on sheet 3 with the right category. Check profit per hour on the Monthly P and L monthly — if it falls, the Dashboard shows which client or month is dragging it.
HOW THE MONEY WORKS:
Job profit is price minus mileage cost (miles times the rate in B5). The example rate is 0.725 per mile — the IRS business standard mileage rate for Jan-Jun 2026 (76 cents from Jul 1, 2026). Edit B5 if you use a different rate. Supplies are period costs on sheet 3, so job profit is before supplies; the P and L is the true profit: revenue minus mileage cost minus supplies and other expenses. Fuel and vehicle rows on sheet 3 are cash records only and are excluded from the P and L by formula, because the mileage method already covers vehicle use — you cannot deduct both mileage and fuel. Profit here is before your own pay and taxes.
WHO IT'S FOR:
House cleaners, maid services, Airbnb turnover cleaners, and small commercial cleaning businesses who want clean per-job books and a profit-per-hour number they can trust before they take the next client.
