Look after the electrical equipment at work? This Ultimate UK PAT Testing Register keeps every appliance and every test in one spreadsheet, works out the next test date, flags failed, overdue and never-tested items, and prints PAT labels.

For office managers, facilities and health and safety leads, landlords, schools, shops, workshops and in-house testers in the UK. It follows HSE guidance: equipment must be maintained so it is safe, with inspection and test intervals chosen by the type of equipment and where it is used. It is a record-keeping tool, not electrical safety advice.

▶ Easy Start Here guide included – video tutorial coming to our YouTube channel

Works in Microsoft Excel and Google Sheets, with no macros.

What it does for you

  • Dashboard: appliances in use, overdue, due soon, failed or not tested, a by-location table, a needs-action list (most urgent first) and three charts (tests passed and failed per month, appliances by status, retests due in the next 12 months)
  • Register (500 appliances): asset ID, description, type, location, class, make, in use, interval override; last test, last result, next test date, days left and status worked out
  • Statuses: OK, due soon, overdue, not tested, failed - do not use, retired, plus a check for an invalid interval
  • Test Log (3,000 tests): visual inspection, earth continuity, insulation resistance, polarity, overall result, tester and notes; the newest test updates the Register
  • Labels: 24 printable PAT labels per A4 page with asset ID, test date, next test, result and tester
  • Settings: business, warning days, default interval, locations, testers and 14 example equipment types with retest intervals (up to 30)
  • Data checks for duplicate IDs, unknown IDs, future dates and missing results
  • Start Here tab with a health check, data validation and protected formulas (no password)

How it works (3 steps)

  1. Settings: business, locations, testers and equipment types with a retest interval for each (about 5 minutes)
  2. Register: add every appliance once with a unique asset ID, type and location
  3. Test Log: add a row for every test; the Register, Dashboard and Labels update themselves

Good to know

  • Cream (pale yellow) cells are for your input. White and grey cells are worked out for you, and the sheets are protected (no password) so formulas are not overwritten by mistake
  • Checked on HSE in November 2026: the Electricity at Work Regulations 1989 require electrical equipment that could cause injury to be maintained in a safe condition. They do not make PAT testing, or testing every year, a legal requirement
  • HSE: how often to inspect and test depends on the type of equipment and where it is used, and records and labels are not required by law but are a useful way to manage and show your maintenance scheme
  • The example intervals are a starting point only. Set your own from your risk assessment and your competent tester
  • FAQ: Does it check my readings? No. The readings are kept for your records; the competent person who tests decides pass or fail
  • FAQ: Can several people use it? Yes. Upload it to Google Drive and open it with Google Sheets, then share it with your team
