Mileage Log 2026 (Excel + Google Sheets, split-year IRS rates)
The IRS changed the 2026 mileage rate in the middle of the year: business driving is 72.5¢ a mile for trips from January 1 to June 30 and 76¢ from July 1. This log prices every trip at the rate for its own date, so your 2026 total comes out right without splitting the year by hand.
What's inside
Trip log for up to 1,000 trips: date, purpose, from and to, client or description, odometer start and end (or just the miles), and parking and tolls
Rate picked by date and purpose: business, medical, military moving and charity rates for 2025 and both halves of 2026 are built in, and you can add 2027 rates when the IRS announces them
Checks on every row: flags a missing date or purpose, an odometer reading that goes backwards, or a date with no rate
Monthly tab: miles and dollar amounts per month for each purpose, plus parking and tolls
Year Summary: January to June, July to December and full-year totals, plus the numbers the tax forms ask for: Schedule C line 9 (car and truck expenses), business, commuting and other miles for Schedule C Part IV or Form 4562, medical and charity mileage for Schedule A, and military moving mileage for Form 3903
Reimbursement tab: total business miles, parking, tolls and the amount due for any date range, at the IRS rate or your employer's own rate
Works in Excel and Google Sheets. Comes as a blank file, a copy with nine example trips, and a Google Sheets upload copy, plus a PDF guide
Example: 4,000 business miles from January to June and 3,000 from July to December 2026 give 4,000 x $0.725 + 3,000 x $0.76 = $5,180. Pricing all 7,000 miles at 76¢ would give $5,320, which is $140 too much. That's the same result as our free 2026 mileage deduction calculator.
Sources: rates from the IRS standard mileage rates page and IRS Announcement 2026-11 (checked October 20, 2026); the charity rate is set by law (IRC section 170(i)). The standard mileage rate is optional, and you can deduct actual car expenses instead (IRS Topic 510, Publication 463).
