IT Asset & Licence Inventory (Excel + Google Sheets)

Who has which laptop? Which warranties end this quarter? Are you paying for licences nobody uses? This workbook answers those questions without buying an asset-management system.

What it does

• Assets tab: asset tag, hostname, type, make, model, serial, status, assigned person, department, location, purchase date, cost, supplier and warranty end.
• Calculated for you: warranty status (Expired / Expiring / Active), age in years, a replace-by date based on the replacement cycle for each asset type, and a lifecycle flag (Overdue / Due within 1 year / OK).
• Licences tab: seats bought and used, seats free, yearly cost and renewal date, with a status that flags lapsed renewals, renewals due soon and over-allocated licences.
• Dashboard: asset counts and value by type, status and department, the next warranties to end, upcoming licence renewals and your yearly licence spend, with charts.
• Replacement cycles, departments, locations, suppliers and statuses are all editable on the Settings tab.

FAQ

Do I need Excel?

No. You also get a Google Sheets version (a link that makes your own copy), and the .xlsx opens in LibreOffice Calc.

Does it contain macros?

No. Everything is plain formulas, so there are no security prompts and it works on Mac and the web.

Can I change it?

Yes. Dropdown lists and thresholds live on the Settings tab, and nothing is locked.

What's the difference between the two Excel files?

One is filled with realistic example data so you can see every feature working; the other is empty and ready for your own data.
