The spreadsheet on its own. HMRC categories, cumulative quarterly figures, mortgage interest handled correctly.

THE HMRC-READY SPREADSHEET FOR UK LANDLORDS

Making Tax Digital is live. The first quarterly deadline has passed; the next is 7 November 2026. This is the spreadsheet built for it — structured around HMRC's own categories, with cumulative quarterly figures ready to hand to your bridging software.

WHERE YOU ARE RIGHT NOW

If your combined rental and self-employment income was over £50,000 in 2024/25, you're in the first MTD wave — 864,000 landlords and sole traders, on HMRC's own numbers.

HMRC isn't issuing penalty points for late quarterly updates this tax year. But quarterly updates are cumulative: every miscategorised transaction from April follows you to year end, where the mistakes stop being free. From 2027/28, points apply properly — four means a £200 fine.

The grace year is the cheap window to get your categories right. It closes in April.

WHAT NOBODY TELLS YOU

Most rental spreadsheets don't map to HMRC's real categories, don't handle cumulative reporting, and treat mortgage interest as a plain deductible expense.

It isn't one. Under Section 24 it's a 20% basic-rate tax credit, applied at year end, and HMRC requires it reported separately even if you consolidate every other expense into a single figure.

WHAT YOU GET

The Toolkit Spreadsheet — in both Excel and Google Sheets:

  • Quarterly transaction logs (Q1–Q4) with dropdown categories mirroring HMRC's exact property income and expense headings
  • Tracks up to 10 properties, with automatic per-property and per-quarter totals — most free MTD tools cap you at ONE property or tie you to a specific bank account
  • Residential finance costs on a dedicated line, with interest split from capital repayment
  • Built-in mileage log using official 45p/25p HMRC rates
  • MTD Export tab: cumulative year-to-date figures, ready to copy straight into any bridging software
  • Dashboard with a live tax estimate that treats mortgage interest as a 20% tax credit, not a deduction
  • Every figure calculated by formula — nothing hardcoded
  • Built-in instructions tab, so you're not guessing where to start

WANT THE EXPLANATIONS TOO?

The Complete edition adds the 18-page MTD Survival Guide (deadlines, the penalty system and what changes in 2027, allowable expenses, and a comparison of HMRC-recognised bridging software including free options), a printable deadline checklist, a calendar file with reminders, and a free update for the 2027/28 tax year — for £34.

If this is your first quarter under MTD, or you missed the August deadline and need to backfill, start there instead. The guide is where the "why" lives.

FREQUENTLY ASKED QUESTIONS

Do I need other software to submit to HMRC? Yes — a spreadsheet alone can't submit to HMRC. You'll need "bridging software" to send the figures on. This is normal and expected, and several recognised options are free. The MTD Export tab is built to feed straight into them.

I missed the 7 August deadline. Can I still use this? Yes. No penalty points apply this tax year, and your 7 November update is cumulative anyway — it covers April to October. The quarterly logs are designed so you can backfill from April in one sitting.

I'm not a spreadsheet person. Is this hard to use? No prior Excel experience needed. Every editable cell is highlighted in yellow. You enter dates, properties and amounts from dropdowns — the spreadsheet does every calculation.

Does this work for joint ownership or multiple properties? Yes, up to 10 properties. Joint owners each keep their own copy for their share of the income.

Is this financial or tax advice? No. This is a record-keeping tool, not a substitute for professional tax advice — particularly for complex situations such as large refurbishments, incorporation, or capital gains. A full disclaimer is included.

Excel or Google Sheets — which do I get? Both. One purchase, two fully working formats.
