Charitable Donations & Medical Expense Tracker
Charitable Donations and Medical Expense Tracker Excel for your tax-season prep — cash and non-cash donation logs, a medical expense log, and a Schedule A deduction summary with a dashboard. Know which donations actually count, which medical costs clear the AGI threshold, and what your Schedule A total really is.
Built for anyone itemizing deductions who needs donation receipts, fair market values, and medical costs organized in one workbook — without accounting software. If a gift has no receipt, this workbook flags it instead of counting it.
WHAT'S INCLUDED (6 sheets):
- Cash Donations Log — date, charity, method, amount, and whether you kept the receipt for every cash gift. Documented and undocumented amounts split by formula.
- Non-Cash Donations Log — date, charity, items donated, fair market value, receipt kept, and the thrift-store valuation note for every donated item. Undocumented gifts are flagged, not counted.
- Medical Expense Log — date, provider, description, amount paid, insurance reimbursed, and net out-of-pocket for every medical cost.
- Deduction Summary — documented vs undocumented donations, receipt coverage, medical net cost vs the 7.5 percent AGI threshold, deductible medical amount, and the combined Schedule A contribution. Enter your AGI and the threshold updates by formula.
- Dashboard — total donations given and documented, receipt coverage, medical costs vs threshold, Schedule A contribution, donations by charity, and medical costs by provider.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.
EXAMPLE DATA (2026 — replace with your own numbers):
- Cash donations given 1,655; documented 1,405; undocumented 250.
- Non-cash donations fair market value 1,010; documented 850; undocumented 160.
- Total donations given 2,665; total documented 2,255; total undocumented 410; receipt coverage 84.6 percent.
- Medical amount paid 3,750; insurance reimbursed 840; net out-of-pocket 2,910.
- AGI 68,000; AGI threshold at 7.5 percent 5,100; deductible medical amount 0; medical shortfall below threshold 2,190.
- Combined Schedule A contribution 2,255; undocumented donations at risk 410.
HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. On sheet 1, add a row per cash gift: date, charity, method, amount, and Receipt? Yes or No. Documented and undocumented amounts split by formula.
3. On sheet 2, add a row per drop-off: items, fair market value, and whether you kept the receipt. Note how you valued the items.
4. On sheet 3, add a row per medical bill: amount paid and what insurance reimbursed. Net out-of-pocket fills in by formula.
5. On sheet 4, enter your AGI. The threshold, deductible medical amount, and Schedule A contribution update by formula.
HOW THE NUMBERS WORK:
Documented amount is the gift amount only when Receipt? is Yes; otherwise it is undocumented and left out of the documented total. Receipt coverage is documented donations divided by total donations given. The AGI threshold is 7.5 percent of AGI. The deductible medical amount is net out-of-pocket medical costs above that threshold, or 0 if costs fall short. The combined Schedule A contribution is documented donations plus the deductible medical amount.
WHO IT'S FOR:
Anyone itemizing deductions who wants donation receipts, fair market values, and medical costs organized for tax prep — without accounting software.
PLEASE NOTE:
- This is a digital download. No physical item will be shipped.
- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).
- Example data for 2026 is included (10 cash donations, 6 non-cash donations, 8 medical expenses, AGI 68,000). Replace it with your own numbers.
- The example is simplified: only documented donations count toward the Schedule A total, and medical costs count only above 7.5 percent of AGI. Fair market values are planning estimates — keep your receipts and valuation notes.
- All figures are planning estimates for the 2026 tax year. This is a planning tool only, not tax, legal, or CPA advice.
- Due to the nature of digital downloads, refunds are not available. Message me before buying if you have a question.
