SaaS Subscription Revenue & Churn Tracker
SaaS Subscription Revenue Tracker Excel with monthly MRR walk, churn rate by plan, LTV and CAC, cohort retention, and dashboard. Know what you actually keep — after churn — and which plan earns it.
Built for SaaS founders and operators who need real MRR, churn, and unit economics without accounting software. Log new and churned customers each month, and the workbook does the rest.
WHAT'S INCLUDED (6 sheets):
- Monthly Metrics — the MRR walk, month by month, Jan-Dec: starting MRR, new, expansion, contraction, churned, net new, and ending MRR, plus MRR growth, logo churn, revenue churn, ending customers, and ARPU. New and churned MRR come from the customers sheet by formula.
- Customers by Plan — starting, new, churned, and ending customers for Starter (29 per month), Growth (79 per month), and Scale (199 per month), plus base plan MRR. Change a plan price and every MRR figure in the workbook updates.
- Unit Economics — per plan: ARPU, gross profit per customer, LTV, CAC, LTV:CAC, and payback months, plus ending customers and ending MRR. Blended LTV, CAC, LTV:CAC, and payback at the bottom, with an acquisition-cost summary.
- Cohort and Churn — churned customers and churned MRR by plan and by month, why customers churn (enter your own reasons — the total is checked against churned customers for the year), and retention of the January 2026 signup cohort.
- Dashboard — starting and ending MRR, ARR, MRR growth, customers, churn, best plan by MRR and by LTV:CAC, blended LTV:CAC, cash runway, and how much of your monthly operating costs MRR covers.
- Cover and How to Use — start here. Yellow cells are the only ones you edit.
EXAMPLE DATA (2026 — replace with your own numbers):
- Starting MRR in January: 9,660 from 180 customers. Ending MRR in December: 31,927. Ending ARR: 383,124. MRR growth for the year: 22,267, up 230.5 percent.
- Total New MRR 26,314; Expansion MRR 2,600; Contraction MRR 755; Churned MRR 5,892; Total Net New MRR 22,267.
- Customers: 466 new, 118 churned, 528 at the end of December (Starter 331, Growth 156, Scale 41). ARPU rises from 54.80 in January to 60.47 in December, because expansion is add-on and seat revenue on top of base plan MRR.
- Average monthly logo churn: 3.3 percent (Starter 3.4 percent, Growth 2.6 percent, Scale 2.1 percent). Average monthly revenue churn: 2.9 percent.
- LTV at 82 percent gross margin: Starter 705.09, Growth 2,463.87, Scale 7,669.46. CAC: Starter 240, Growth 650, Scale 1,800. LTV:CAC: 2.9x, 3.8x, and 4.3x. Payback: about 10 months for Starter and Growth, 11.0 months for Scale.
- Blended: CAC 477.70, LTV 1,616.09, LTV:CAC 3.4x, payback 9.6 months. Total acquisition cost in the example: 222,610.
- January 2026 cohort: 28 customers joined, 21 were still paying in December — 75.0 percent twelve-month retention.
- Dashboard example: best plan by ending MRR is Growth at 12,324; best plan by LTV:CAC is Scale at 4.3x. Cash in bank 240,000, monthly operating costs 42,000, monthly net burn 10,073, cash runway 23.8 months, MRR covers 76.0 percent of operating costs.
HOW IT WORKS:
1. Download the Excel file instantly after purchase.
2. On sheet 2, enter your plan prices and your starting customers for January.
3. Each month, enter new and churned customers by plan on sheet 2, and expansion and contraction MRR on sheet 1. Enter your CAC per plan on sheet 3, and your cash and monthly costs on the Dashboard. Check churn and LTV:CAC monthly.
HOW THE NUMBERS WORK:
Ending MRR is Starting MRR plus New MRR plus Expansion MRR minus Contraction MRR minus Churned MRR. LTV is gross profit per customer per month divided by the average monthly logo churn rate. LTV:CAC above 3 is healthy; payback under 12 months is healthy. Logo churn is churned customers divided by starting customers; revenue churn is churned MRR divided by starting MRR. If logo churn is above 5 percent a month, fix onboarding and retention before spending more on acquisition.
WHO IT'S FOR:
SaaS founders, operators, and finance leads who want MRR, churn, LTV, CAC, and runway in one workbook — without accounting software.
