Veterinary Clinic Profit Tracker Excel for your vet practice — service pricing, appointments, medication inventory, and a monthly P and L dashboard. Know what every service actually costs, what every appointment actually made, and which medication is about to run out.

Built for veterinarians, vet clinic managers, and small animal practices who need to know, service by service and appointment by appointment, whether the fee covers the meds, the lab, and the tech — without accounting software. If a lab-heavy service is barely keeping half its fee, or a vaccine is about to run out, this workbook shows it before the next clinic day.

WHAT'S INCLUDED (6 sheets):

- Services and Pricing — visit time, meds and supplies cost, lab cost, fee, and margin in dollars and percent for every service. Change a lab fee and every appointment profit updates by formula.

- Appointments — date, pet and owner, visit type, service, quantity, fee, revenue, cost per service pulled from the service sheet, profit per appointment, and margin. Log wellness visits, surgeries, dental cleanings, diagnostics, and urgent exams in one place.

- Medications and Inventory — medication, unit, quantity on hand, reorder point, cost per unit, and stock value. Anything at or below its reorder point is flagged LOW STOCK so you reorder before the next clinic day.

- Monthly P and L — revenue, meds and lab cost, vet tech wages, rent, and other expenses by month, Jan-Dec, with net profit and margin. Revenue and meds and lab cost are formulas from the Appointments sheet.

- Dashboard — total revenue, appointments, services performed, average fee per appointment, gross and net profit and margin, best service by margin dollars and by margin percent, best-selling service, best appointment and best visit type, costs by category, and low stock count.

- Cover and How to Use — start here. Yellow cells are the only ones you edit.

- Vet tech wages 650, rent 850, other expenses 420 (lab courier, software, insurance); total expenses 2,498; net profit 305; net margin 10.9 percent.

- Revenue by visit type: Surgery 1,025 (best), Wellness 538, Dental 520, Diagnostics 470, Urgent 250.

HOW IT WORKS:

1. Download the Excel file instantly after purchase.

2. On sheet 1, enter each service's visit time, meds and supplies cost, lab cost, and fee. Total cost and margin fill in by formula.

3. On sheet 2, log every appointment: date, pet and owner, visit type, service (spelled exactly as on sheet 1), quantity, and fee. Revenue, cost per service, and profit fill in by formula.

4. On sheet 3, keep quantities on hand current and set a reorder point for each medication. Buy more of anything flagged LOW STOCK before the next clinic day.

5. On sheet 4, enter vet tech wages, rent, and other expenses each month, then check gross and net profit on the Dashboard.

HOW THE NUMBERS WORK:

Total cost per service is meds and supplies cost plus lab cost. Margin per service is fee minus total cost. Margin percent is margin divided by fee. Gross profit is revenue minus meds and lab cost; net profit is revenue minus meds and lab cost, vet tech wages, rent, and other expenses. One performed service is one unit.

WHO IT'S FOR:

Veterinarians, vet clinic managers, and small animal practices who want service pricing, appointment profit, medication inventory, and a monthly P and L in one workbook — without accounting software.

PLEASE NOTE:

- This is a digital download. No physical item will be shipped.

- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).

- Example data for October 2026 is included (12 services, 20 appointments, 21 services performed, 14 medications). Replace it with your own numbers.

- The example is simplified: the example is a small clinic with part-time tech help, so wages and rent are small and the month nets only 305 on 2,803 of revenue. The vet's own time is not costed. Add your own expense lines on sheet 4 as needed.

- This is a bookkeeping and planning tool only, not tax, legal, or CPA advice.

- Due to the nature of digital downloads, refunds are not available. Message me before buying if you have a question.
