WHAT'S IN THE FILE

- How To Use: a one-page guide at the front.

- Settings: business name, ABN, contact details, GST registered (Yes/No), charge-out rate, your labour cost, default markup, deposit %, quote validity, payment days, bank details, and an itemised or summary quote layout. Set it once.

- Job Costing: client and job details, notes/exclusions, 10 labour lines, 15 materials lines (with units and markup) and 3 other charges (call-out, tip fees, permits). Blank rows stay blank until you type a description.

- Quote: a print-ready, one-page quote with a logo box, your ABN, every line item (or a short summary), subtotal, GST, total, the deposit to accept, payment details, terms and a sign-off line.

- Profit Check: gross profit, margin % against your target, profit per labour hour, the GST to set aside for your BAS, and a plain verdict (healthy, thin or loss).

- Invoice: built from the same job data, with invoice number, issue and due dates, deposit received, amount due and paid/unpaid status. It's titled "Tax Invoice" only when you're GST registered, otherwise "Invoice".

- Job Register: log every quote (Quoted, Won, Lost, Invoiced, Paid) and see totals for quoted, won, outstanding and paid, plus your win rate. Settings shows your next quote number.

- Trade versions included: a blank version, plus Electrician, Plumber and Carpenter versions with example line items you can edit or delete.

HOW IT WORKS

1. Set up once: fill in the yellow cells on Settings.

2. Cost the job: enter labour, materials and extras, then check your margin on Profit Check.

3. Send it: print or save the Quote as a PDF. When the job's done, the Invoice is ready.

COMPATIBILITY

Excel 2016 or later and Microsoft 365 (Windows and Mac), Google Sheets and LibreOffice Calc. It uses only standard functions that work in all three. No macros, add-ins or sign-ups.

FAQ

Q: Does it work on a Mac?

A: Yes, in Excel for Mac (2016 or later, or Microsoft 365), or free in Google Sheets in your browser. Apple Numbers isn't tested or supported.

Q: Does it work in Google Sheets?

A: Yes. Upload the .xlsx to Google Drive and open it with Google Sheets. Everything calculates the same.

Q: Can I add my logo?

A: Yes. The Quote and Invoice have a logo box. Insert your logo as a picture over it and delete the placeholder text. The file is unlocked, so you can change colours, wording and terms too.

Q: I'm not GST registered. Does it still work?

A: Yes. Set "GST registered?" to No on Settings. The quote shows "GST (not registered)" with $0 GST, and the invoice is titled "Invoice" instead of "Tax Invoice".

Q: Can I use it on my phone?

A: You can view and make quick edits in the Google Sheets or Excel apps. Setting up and printing is easier on a computer or tablet.

Q: What if something doesn't work?

A: If the file is faulty or not as described, contact us for a fix or refund. This doesn't limit your rights under the Australian Consumer Law.

Q: Is this tax advice?

A: No. This is a general tool, not tax or financial advice. Check GST and BAS questions with a registered tax or BAS agent.
