Show Volunteer Kit for Dance Studios: Find, Organise and Thank Your Volunteers
Show week is hard enough. Finding enough adults to supervise dressing rooms, check tickets and hand children back safely shouldn't be the part that keeps you up at night.
Most studios ask for volunteers through a sign-up page in their studio software, then wonder why nobody signs up. Families don't log in. They do reply to emails.
This is the exact system I use at my own studio for showcases, festivals and Fringe productions, in four parts:
1. The guide. One show from start to finish: the timeline, the email that gets replies, the group chat, the volunteer policy form questions, my welcome message, induction, pick-up, and the thank-you and feedback form.
2. The Show Volunteer Task Workbook. My actual show-day spreadsheet. A tab for every role (Backstage Manager, Stage Manager, Dancer Supervision, Kids Supervision, Front of House, Social Media, Auditorium Set Up), each with timed tasks and tick boxes. Plus Important Contacts, What to bring, Induction Checklist, Prop List, Student Pick Up, Emergency Kit, Mobile Store, Flower Orders and the Volunteer Manual list.
3. Volunteer Role Descriptions. Ten ready-to-send role descriptions, one-line summaries for your sign-up form, and a volunteer agreement for bigger shows.
4. The Volunteer Feedback Form. My actual feedback form as a ready-made Google Form, plus the review process I use after every show to turn feedback into a lessons-learned list for next time.
Built from real shows. Every task is there because something went wrong without it, like planning exactly how children are handed back to parents, and handing acts on two at a time so there's never a gap.
Edit everything. Anything in [square brackets] is a fill-in, so you swap in your own show, venue, roles, times and thank-yous.
What's included
- The guide (Google Doc)
- The Show Volunteer Task Workbook (Google Sheets, plus an Excel version)
- Volunteer Role Descriptions and agreement (Google Doc)
- Volunteer Feedback Form (Google Form)
Good to know: the policy form is a practical commitment, not a legal document. Working with children checks and other rules differ by state and country, so the kit shows you where to add your own.
No Google account? You also get the guide and role descriptions as Word files, the workbook as an Excel file, and the feedback form questions to set up in any form tool.
