A load is offered. Before you say yes, you want to know one thing: after fuel, the carrier's share, the empty miles and your own pay, what is left? This workbook answers that for a Canadian truck, in miles and kilometres, litres and US gallons, Canadian and US dollars.

WHAT YOU GET

One Excel workbook with eight tabs, ready to use after about fifteen minutes of setup.

My Truck. Type your fuel burn, your monthly bills and the pay you want, once. It shows your cost per mile and per kilometre.

Load Calculator. Type the loaded distance, deadhead, bobtail and what the load pays. It shows the cash left before and after your own pay, and the lowest rate worth taking for that load, per mile and per kilometre.

Load Log, Fuel Log and Expense Log. One line per load, fill or bill. Fuel in litres or US gallons, money in Canadian or US dollars. Categories include towing, hotel during a shop wait, fines, DEF, tires and repairs.

Monthly Summary. Your logged revenue and costs month by month, your cost per mile and per kilometre, and a check that tells you when your real numbers have drifted from your settings.

Accountant Notes. GST/HST on freight, IFTA and the long-haul meal rule in plain words, with the official sources, so you know what to ask your accountant.

WHY IT IS DIFFERENT

Most trucking spreadsheets are built for the United States: miles and gallons only, US tax forms, and no room for a carrier that keeps a percentage. This one is built for Canadian owner-operators, leased on or running their own authority, including drivers who cross the border and fill up on both sides.

It counts deadhead and bobtail distance, so empty running is never treated as free.

It puts your own pay in as a cost, so unpaid work does not look like profit.

It refuses to give an answer when something is missing, such as an exchange rate, and tells you what to fix. It does not guess.

WHO IT IS FOR

Canadian owner-operators and small fleets. New owner-operators working out whether the numbers make sense. Drivers thinking about buying a truck.

WHAT IT IS NOT

A planning tool. Not bookkeeping software, not a tax return, not an IFTA return and not a GST/HST return. It does not work out tax. Not tax, legal or accounting advice. Not affiliated with the Canada Revenue Agency, IFTA, Inc. or any carrier. The numbers that come filled in are made-up examples for you to replace.

WHAT YOU NEED

Microsoft Excel 2010 or newer, or Google Sheets, which is free. In Google Sheets choose File, then Import, then Upload. The workbook uses standard formulas only, with no macros.
