Small Wedding Budget Planner Spreadsheet | Micro & Courthouse Wedding Budget, Vendor Payments, Guest List & RSVP | Excel & Google Sheets
A wedding budget and planner made for small, micro, courthouse and restaurant-dinner weddings. Plan your budget by category, track every vendor deposit and balance, manage the guest list and RSVPs, and see your real cost per guest. Works in Excel and Google Sheets, with no macros.
Planning a small wedding? Most wedding planners are built for 150 guests, a ballroom and a 40-tab checklist. This one is sized for the wedding you're actually having: a courthouse ceremony and dinner, a backyard micro wedding, an elopement with family, or a private room at your favorite restaurant.
Small weddings have one big money lever: guest count. So this planner shows your cost per guest next to your budget, committed and paid totals. You'll see exactly what each extra seat costs before you send the invitations.
What's inside (7 tabs):
- Start Here: a 10-minute setup guide.
- Dashboard: days to go, total budget, committed, paid so far, left to pay, budget left, seats on the list, attending, awaiting reply, declined, cost per guest and your next payment. It also has a budget-vs-committed chart, your next 6 payments, meal counts, and an "at a glance" box (food at current headcount, categories over budget, checklist progress, thank-you notes still to write).
- Budget: 20 categories built for small weddings, with a suggested % split you can follow or ignore. Committed and paid fill in automatically from your vendors. Under/over turns red when a signed contract goes over your plan, and "Not yet assigned" shows the money you haven't planned yet.
- Vendors & Payments: up to 50 vendors or purchases. Enter the contract total, deposit and balance with due dates, then type the date when you pay. Status updates itself: Paid in full, Due in N days, Overdue or Scheduled.
- Guest List & RSVP: up to 150 guests with household, side, group, A-list / B-list, plus-ones, invite sent, RSVP, meal choice (and plus-one meal), dietary notes, gifts and thank-you sent. A gift without a thank-you turns red.
- Checklist: a 25-task small-wedding timeline. Due dates count back from your wedding date, and overdue tasks turn red.
- Settings: your names, date, total budget, wedding style, per-guest food estimate, meal choices and guest groups.

- No macros, add-ons or sign-ups. It's just a spreadsheet
- Comes filled with clearly labeled example data (Maya & Jordan's $12,000 courthouse + dinner wedding) so you can see how it works. Delete the example rows and add your own
- Instant digital download (1 .xlsx file)
Please note: this is a digital file, so nothing will be mailed to you. The suggested % split is a starting point, not advice. Marriage license fees and courthouse rules vary by county, so check with your county clerk. Currency shows as $; change the number format to use your own. Apple Numbers and LibreOffice will open the file, but it is built for Excel and Google Sheets.
