Wedding Budget & Planning Tracker – Excel Spreadsheet with Guest List, RSVP & Checklist

Plan the whole wedding in one Excel file: the budget, every vendor, the guest list, seating and a month-by-month checklist that follows your wedding date. No app or subscription.

Wedding Budget & Planning Tracker is a clean, fully automatic workbook:

- Settings: your names, currency symbol, wedding date, total budget, guest target and default table size. Up to 14 budget categories with an editable suggested % split (a starting point, not a rule), plus your own guest groups and meal choices. Every dropdown in the file reads these lists.

- Budget: up to 100 cost lines with category, item, vendor, estimated cost, actual cost, deposit paid, other payments, balance due, due date and a status dropdown (Not booked / Booked - no deposit / Deposit paid / Partly paid / Paid in full). Actual costs over the estimate turn red. Overdue payments turn red and payments due in the next 30 days turn orange.

- Vendors: up to 40 vendors with contact person, phone, email, website, quote, contract signed, deposit, final payment date and status. "Paid so far" is pulled from the Budget sheet, so you only type each payment once.

- Guest List: 200 rows with side/group, household, address or email, invite sent, RSVP (Pending / Yes / No), plus-one, meal choice for the guest and plus-one, dietary notes, table number, gift received and thank-you sent. Invited, yes, no and pending headcounts update at the top.

- Seating: up to 30 tables. Seats assigned and confirmed guests per table are counted from the guest list (plus-ones included), with a warning when a table is over capacity.

- Checklist: 43 common planning tasks from 12+ months out to after the wedding. Due dates are calculated from your wedding date, so if the date moves, the whole timeline moves with it. Tick tasks off; overdue ones turn red. Edit, delete or add your own.

- Dashboard: days to go, total budget, expected cost, paid so far, still to pay, remaining budget, % of budget used, payments overdue and due in the next 30 days (with the next 6 listed), RSVP and meal counts, guests without a table and checklist progress. Includes a budget vs expected vs paid bar chart by category and two doughnut charts (RSVPs and paid / to pay / unspent).

How it calculates: expected cost is the actual cost when you have one, otherwise your estimate. Balance due = expected cost minus deposit and other payments. Remaining budget = total budget minus expected cost. It is a planning tool; check amounts and dates against your vendor contracts.

Works with any currency. Built for Excel 2016+ (Windows and Mac), Excel mobile, WPS and LibreOffice; Google Sheets works too, though charts may look slightly different. All formulas were recalculated and checked in LibreOffice, with sample data and with all data cleared.
