Event Day Operations Checklist (FREE)
Every checklist item and every section heading - 53 items and 9 headings - is wording taken
word-for-word from the Event-Ready Team System, so what your attendant reads on the card matches
what your training says. The page title, the fill-in fields, the closing guidance and the insurance
sentence are ours, not quotes from the paid product. No operating advice was written fresh.
It covers, in the order an event actually runs:
- **Before any paid event** - hardware-specific instructions, offline and online tests, venue and
escalation details recorded, who may approve refunds or changes
- **Preflight before leaving** - the event brief, the pack list, charge, media and spares
- **Arrival and load-in** - check in with the named contact, confirm location, outlet, guest flow
and deadline, keep exits and accessibility routes clear
- **Setup, arrive to ready** - stabilise the structure, placement, cable routing, the approved
preset, and an end-to-end capture-to-delivery test before service
- **Live operation** - queue and print quality, props away from gear, privacy, not promising
refunds or invented ETAs, escalating changes to the authorised contact
- **Troubleshooting ladder** - make it safe, read the status, check the simple external causes,
one documented action, one full-system test, escalate with symptom and impact
- **Guest service** - the exact wording for a welcome, a queue, a pause and a boundary
- **Teardown and safety** - authorised service end, saved files, cooling, inventory, site walk,
closeout, and when to stop for smoke, sparking, liquid on power, damaged cable, unstable gear,
injury or aggressive behaviour
- **Never do this** - energized equipment, forced connectors, defeated safety locks, installing
software during a paid event

## HONEST LIMITS
- General education and an operations aid. Not legal, employment, tax, insurance, electrical,
medical, security or manufacturer advice, and it does not determine whether a worker is ready
for solo duty.
- Steps that say "approved" refer to your own method and Equipment Profile. This page does not
define them - which is why it cannot stand in for training or guarantee a safe event.
- Insurance and liability requirements vary by state and venue. Verify requirements with a
licensed insurance agent in your state.
- Use inside one business. No reselling, sublicensing, sharing, posting or distributing the
source or modified files. Free, and it carries no support commitment or promise of updates.
- This free companion is the print-ready PDF only. The editable Word versions live in the paid
Event-Ready Team System.
