Farm and Ranch Profit Tracker Excel for your farm or ranch — crop and livestock costs, harvest sales, input inventory, and a monthly P and L dashboard. Know what every acre and every head actually costs — and whether the month actually made money.

Built for farmers and ranchers who need to know, enterprise by enterprise and sale by sale, whether the price covers the seed, the feed, and the fuel — without accounting software. If an enterprise is losing money, this workbook shows it before the next planting.

WHAT'S INCLUDED (6 sheets):

- Crops and Livestock — acres or head, seed and feed cost, other input cost, total cost, total yield, cost per unit, price per unit, and margin in dollars and percent for every enterprise. Change an input cost and every sale profit updates by formula.

- Harvest Sales — date, buyer, channel, product, quantity, unit price, revenue, cost per unit pulled from the enterprise sheet, profit per sale, and margin. Log wholesale, farmers market, CSA, and direct sales in one place.

- Inputs and Inventory — input, unit, quantity on hand, reorder point, cost per unit, and stock value. Anything at or below its reorder point is flagged LOW STOCK so you buy it before the next planting or feeding.

- Monthly P and L — revenue, input cost, fuel, labor, and other expenses by month, Jan-Dec, with net profit and margin. Revenue and input cost are formulas from the Sales sheet.

- Dashboard — total revenue, sales, units sold, average sale value, gross and net profit and margin, best enterprise by margin per unit and by margin percent, best-selling enterprise, best sale and best channel, costs by category, and low stock count.

- Cover and How to Use — start here. Yellow cells are the only ones you edit.

EXAMPLE DATA (October 2026 — replace with your own numbers):

- Fuel 640, labor 900, other expenses 380 (vet visits, insurance, market fees); total expenses 43,456.67; net profit 35,368.33; net margin 44.9 percent.

- Revenue by channel: Wholesale 61,510 (best), Direct 10,620, Farmers Market 4,655, CSA 2,040.

HOW IT WORKS:

1. Download the Excel file instantly after purchase.

2. On sheet 1, enter each enterprise's acres or head, seed and feed cost, other input cost, total yield, and price per unit. Cost per unit and margin fill in by formula.

3. On sheet 2, log every sale: date, buyer, channel, product (spelled exactly as on sheet 1), quantity, and unit price. Revenue, cost per unit, and profit fill in by formula.

4. On sheet 3, keep quantities on hand current and set a reorder point for each input. Buy more of anything flagged LOW STOCK before the next planting or feeding.

5. On sheet 4, enter fuel, labor, and other expenses each month, then check gross and net profit on the Dashboard.

HOW THE NUMBERS WORK:

Cost per unit is (seed and feed cost plus other input cost) divided by total yield. Margin per unit is price per unit minus cost per unit. Margin percent is margin per unit divided by price per unit. Gross profit is revenue minus input cost; net profit is revenue minus input cost, fuel, labor, and other expenses. One sellable unit is one bushel, ton, head, crate, dozen, or pound, depending on the enterprise.

WHO IT'S FOR:

Farmers, ranchers, and smallholders who want crop and livestock costs, harvest sales, input inventory, and a monthly P and L in one workbook — without accounting software.

PLEASE NOTE:

- This is a digital download. No physical item will be shipped.

- Works in Microsoft Excel and Google Sheets (upload to Google Drive to open in Sheets).

- Example data for October 2026 is included (8 enterprises, 20 sales, 5,789 units sold, 14 inputs). Replace it with your own numbers.

- The example is simplified: meat goats lose 10.00 per head in the example because feed costs more than the sale price, and the example carries no land cost or equipment depreciation, so the 44.9 percent net margin is not a whole-farm margin — add your own land and equipment lines on the P and L.

- This is a bookkeeping and planning tool only, not tax, legal, or CPA advice.

- Due to the nature of digital downloads, refunds are not available. Message me before buying if you have a question.
