Seven calculators for pricing local moves from your own truck, crew and overhead, not from someone else's rate card: a crew hourly rate from the truck, wages, insurance and overhead, a local move estimate from rooms or cubic feet and your load and unload speeds, travel time and a truck fee, stairs, long-carry and heavy-item surcharges, packing materials and packing labor, a flat-rate quote against hourly with the overrun it can absorb, and a profitability check once the real hours are in. Start with sheet 1. In the worked example a three-mover crew bills $165.00 an hour. Every figure is an example for you to overwrite; none of it is a claim about what moving services sell for. These are estimates, not financial advice. Every formula was recalculated and checked against an independent implementation before this shipped.

What is in it

7 calculators, one per sheet. Overwrite the blue cells with your own numbers and everything else follows. Nothing is locked, there are no macros, and it opens in Excel, Numbers, LibreOffice and Google Sheets.

  • Crew hourly rate: What must an hour of truck and crew bill to cover the truck, wages, insurance and overhead?
  • Local move estimate: What does this move come to in crew-hours and dollars, from its rooms or cubic feet?
  • Travel time and truck fee: What should the customer pay for the driving: the truck fee, and the drive between the two homes?
  • Stairs, carries, heavy items: What do stairs, a long carry and heavy items add to the job?
  • Packing materials and labor: What do the boxes, the supplies and the packing hours come to?
  • Flat rate vs hourly: What flat price covers the risk of the move running long, and how long can it run before the flat quote loses money?
  • Job profitability check: Once the crew's real hours are in, did the move make your target margin?

Every formula was checked

This pack contains 63 formulas. Before it was published, every one of them was recalculated by a spreadsheet engine and compared against an independent implementation of the same arithmetic written in Python. All 63 agreed to within a cent, and the workbook carries a Verification sheet saying so.

That is an unusual thing to be able to claim about a spreadsheet, and it is the main reason to buy this one rather than download a free template. A formula that looks right and is wrong is worse than no formula at all, because you will act on it.

What each calculator assumes

There is a sheet listing this, because a calculator that hides its assumptions is just a number generator:

  • Fixed costs are spread evenly over the billed hours you enter. Owner pay is a fixed cost here, so the margin is profit on top of it. Fuel and truck wear per mile are charged on sheet 3, not in this rate. Income tax is not computed.
  • Load and unload speeds are whole-crew rates and hold for the whole job. Stairs, long carries and heavy items are extra time on sheet 4. A move needing a second truck load also needs a second round of driving, which this sheet does not add.
  • The whole crew rides in the truck and is paid for the driving. One trip each way; a move needing two loads repeats the drive between homes. Tolls and parking permits are not costed; add them to the truck fee if you pay them.
  • Stairs slow the end of the job they are at in proportion to its hours. The long carry is at delivery; for a long carry at pickup, apply the same blocks to the loading hours. Heavy items need no extra movers; if they do, add the extra mover from sheet 1 for those hours.
  • Packing is billed per mover-hour, not per crew-hour, so a packing crew of any size bills the same total. Boxes are sold, not lent; a box rental or buy-back is not modeled. Every box of a size takes the same time to pack.
  • Every crew-hour costs the same, overtime included; if overtime pay applies past a set hour, the flat quote loses money sooner than this shows. The truck fee is assumed to cover the yard legs and mileage exactly. Surcharges and packing are left out of both prices.
  • Owner pay sits inside the fixed cost per truck-hour, so the profit is on top of it. The packing day carries wages but no share of truck fixed costs. Every crew-hour is paid at the same wage; overtime is not modeled.

What this is not

Not financial, tax or legal advice, and not a recommendation to buy, sell, borrow or sign anything. These are calculators: they show what a choice costs, not which choice is right for you. Where a published rate or threshold is used it is the one current when the pack was built; those change, the arithmetic does not.

Honest about the format

One .xlsx workbook, 7 calculator sheets plus Start Here, Assumptions and Verification. Not a PDF, not a physical product, not a Notion template. Available immediately after purchase; nothing ships.
