Hospitals and healthcare organizations may purchase multiple user licenses for Compassionate Care in Perinatal Loss, providing staff with full access to the course.
1. License Structure
Each license provides access for one individual user and is considered used upon enrollment. Licenses are non-transferable after enrollment.
Upon purchase, the hospital will receive a unique access code that allows staff to self-enroll in the course at no additional cost. Users may enroll at any time during the access period.
Hospitals are encouraged to distribute access codes internally and coordinate enrollment to ensure accurate tracking and eligibility.
Additional licenses purchased after the initial order can be applied to the original access period (using the access code), but they will not extend the access or eligibility window. Example: 9 licenses bought on 1/1/27, 2 more licenses tied to access code bought in November. All 11 licenses expire on 1/1/28 When buying additional licenses there will be a field you can enter your access code to associate those new licenses & access period with the original purchase. This is entirely optional, but can be helpful if you are nearing certain voucher tiers and you wish to meet those by purchasing just a few more licenses.
Participant Eligibility
Licenses may be used by any employee or affiliated staff member of the purchasing organization. The course is primarily intended for clinicians and care teams involved in perinatal, maternity, NICU, and reproductive care; however, non-clinical staff who interact with or support patients and families (e.g., support services, administrative, or ancillary roles) are also welcome to participate.
2. Access Period
All licenses expire twelve (12) months from the original purchase date.”
3. Enrollment & Purchase Process
Hospitals must purchase group licenses and receive a designated access code prior to staff enrollment in order for participation to be tracked under the organization.
All participants must enroll using the hospital-provided access code to be counted toward license usage, completion rates, and voucher eligibility.
Gemma’s Hope is not responsible for retroactively applying individual enrollments to a group license after registration has occurred.
Group-Sponsored Enrollment Option
In cases where an organization is not directly funding participation, a group of staff members may coordinate a single group license purchase. One individual may complete the purchase on behalf of the group, and all participants must enroll using the designated access code.
To be eligible for group tracking and voucher incentives, all licenses must be purchased in advance of participant enrollment using the access code. Individual enrollments completed outside of the group license purchase cannot be combined retroactively.
3. License Usage & Tracking
Licenses are limited to the number purchased. Once all licenses have been used, additional licenses must be purchased for further enrollments.
Hospitals may request usage and completion reports at any time, including:
- Number of enrolled users
- Number of completed users
- Remaining available licenses
4. Course Completion Requirements
A participant is considered to have successfully completed the course when they:
- Complete all required modules, and
- Achieve a passing score of 80% or higher on all quizzes
Quizzes may be retaken as needed to achieve a passing score.
5. Voucher Incentive Eligibility
Hospitals may earn Gemma’s Hope store credit based on staff completion rates achieved within the program period.
Eligibility Window
Voucher eligibility is evaluated based on course completions achieved within twelve (12) months from the original license purchase date. Only participants who fully complete the course within this period will be counted toward completion thresholds.
Eligibility Requirements
To qualify for voucher incentives, the following criteria must be met:
- A minimum of 50% of purchased licenses must be successfully completed to qualify for any store credit
- For Impact Tier (80–99%) and Excellence Tier (100%), at least 10% of successfully completed participants must be provider-level participants
Provider-Level Definition
Provider-level participants are defined as licensed or credentialed clinicians involved in patient care, including physicians (MD/DO), advanced practice providers, certified nurse midwives, residents/fellows, and other clinical specialists (e.g., PhD-level clinicians) practicing in relevant care settings such as maternity, NICU, women’s health/reproductive, or perinatal care.
6. Voucher Value
Once eligibility criteria are met, hospitals will receive store credit per successfully completed participant, based on the following completion tiers:
- Engagement Tier (50–79%)
- → $5 per successfully completed participant
- Impact Tier (80–99%)
- → $10 per successfully completed participant
- (Requires ≥10% provider-level participants)
- Excellence Tier (100%)
- → $12 per successfully completed participant
- (Requirements: ≥10% provider-level participants, minimum 10 successfully completed participants)
Store credit is calculated based on the total number of participants who successfully complete the course within the eligibility window. Store credit will be issued to the purchasing individual or designated group administrator.
Completion percentage is calculated based on the total number of licenses purchased within the program period, including any additional licenses added prior to the program end date. All percentage-based thresholds are calculated using whole participants and rounded to the nearest whole number as applicable.
7. The Excellence Tier*
The Excellence Tier includes a prestigious recognition awarded to hospitals or units that achieve 100% course completion within the program period.
Recipients will be honored as leaders in compassionate perinatal loss care and will receive:
- A physical award for display within their unit or organization
- Recognition on the Gemma’s Hope website as an Excellence Tier recipient
- A digital badge for use in internal communications, recruitment materials, and professional profiles
- Optional recognition through Gemma’s Hope communications and social media
This recognition is designed to celebrate exceptional commitment to staff education and to advancing compassionate, high-quality care for families experiencing loss.
8. Voucher Issuance & Expiration
Store credit will be issued within 10 business days after eligibility is confirmed.
Store credit:
- Is valid for one (1) year from the date of issuance
- May be used for purchases within the Gemma’s Hope store, excluding shipping costs
- Has no cash value and is non-refundable
9. Program Purpose
This program is designed to:
- Provide accessible, high-quality education in perinatal loss care
- Encourage full staff participation and engagement
- Equip hospitals with meaningful resources to support grieving families
10. Examples & Format
Example 1: Engagement Tier (No provider requirement)
Facility A purchases 20 licenses ($400)
- 12 staff complete the course
- Completion rate = 60%
- Falls within Engagement Tier (50–79%)
Voucher earned:
12 participants × $5 = $60 store credit
Example 2: Impact Tier (Meets provider requirement)
Facility B purchases 25 licenses ($500)
- 21 staff complete the course
- Completion rate = 84%
- 3 of the 21 are provider-level participants (14%)
✔ Meets:
- ≥80% completion
- ≥10% provider-level
Voucher earned:
21 participants × $10 = $210 store credit
Example 3: Impact Tier NOT met (falls back to Engagement)
Facility C purchases 20 licenses ($200)
- 17 staff complete the course (85%)
- Only 1 is provider-level (~6%)
Does NOT meet provider requirement for Impact Tier
➡ Falls back to Engagement Tier
Voucher earned:
17 participants × $5 = $85 store credit
Example 4: Excellence Tier + Award
Facility D purchases 15 licenses ($300)
- All 15 complete the course (100%)
- 2 are provider-level (13%)

15 × $12 = $180 store credit
Also receives:
