How to check a cleaning quote using labor hours and costs

A cleaning quote can look healthy until you count every person's time. Two cleaners working two hours contribute four labor-hours. Paid travel time adds more. A useful cost check starts with people and time, rather than a price copied from a competitor.

Write down crew size, on-site hours per person, paid travel hours per person and your loaded hourly labor cost. Include owner time at the rate you choose and applicable payroll burdens. Then add consumables, vehicle costs, other direct costs and a consistent allocation of overhead. Avoid counting the same expense twice.

Here is a fictional example, not a recommended local rate. Two people each spend two hours on-site and 0.25 hours in paid travel. At a loaded hourly cost of 25, labor costs 112.50. Add supplies of 8, vehicle/other costs of 6 and overhead of 12: total cost is 138.50 before payment fees.

If your payment provider takes 3% plus 0.30 and you choose a 25% margin target, the price calculation is (138.50 + 0.30) / (1 - 0.03 - 0.25). That gives 192.78 when rounded up to the next cent. All amounts in this example use the same currency.

This is a cost-based planning figure. It does not tell you what customers in your area will pay or whether your time estimate is realistic. Compare the scope with your experience, and check actual results after the visit.
