Group Displacement Analysis: How to Decide if a Hotel Group Booking Is Worth Taking

A group enquiry for 40 rooms looks like good news. Whether it is depends on what those rooms would have earned without the group. Displacement analysis compares the two before you quote.

The question displacement answers

If you accept the group, which transient guests can you no longer accommodate, and what would they have paid? The group's value is its own revenue and profit, minus the revenue it pushes out.

Worked example

These figures are illustrative. A group wants 40 rooms for 2 nights at $80, with a meeting package worth $2,500.

  • Group rooms revenue: 40 × 2 × $80 = $6,400
  • Meeting package: $2,500 revenue; at a 35% margin, $875 profit

On the same nights, your forecast shows 30 of those 40 rooms would have sold to transient guests at $110.

  • Displaced revenue: 30 × 2 × $110 = $6,600

Net value of the group: 6,400 + 875 − 6,600 = $675. The headline figure the sales team sees is $8,900.

Refine it with the cost of each occupied room

Every occupied room has variable costs such as laundry, amenities and cleaning labour. If that cost is $12 per occupied room, the group adds 80 room nights of cost (40 × 2) and the displaced business would have added 60 (30 × 2). The net value falls to $435.

Find the break-even group rate

To find the lowest room rate at which the group still breaks even, subtract the meeting profit from the displaced revenue and divide by the group room nights: (6,600 − 875) ÷ 80 = $71.56. Quote below that and the hotel earns less than it would without the group, even before room costs are counted.

Reasons to take a group anyway

  • It fills a shoulder night the forecast shows as weak
  • It leads to repeat business or a corporate account
  • It brings F&B or meeting revenue well above the example
  • Your forecast is uncertain and the group is a firm commitment with a deposit

These can be good reasons. The point of the analysis is that the decision is made with the net number on the table, not the headline.

Protect the decision in the contract

  • Set a cut-off date for the room block and release unused rooms back to sale
  • Agree attrition terms: how many rooms the group can drop without a charge
  • Take deposits on a schedule tied to the arrival date
  • Track pickup against the block at fixed checkpoints
