Tradie Tool & Equipment Register + Test & Tag Log (AU) – Excel & Google Sheets
Know what gear you own, what it's worth, and what's due for test & tag, in one offline spreadsheet. Built by a Brisbane ex-boilermaker/fabricator.
What's inside
Register: up to 300 items with ID, serial no., brand/model, purchase date and price, replacement value, where the receipt is kept, warranty, location, status (in service, on loan, out for repair, lost/stolen, retired), who borrowed it and when it's due back, and insured Y/N.
Test & Tag Log: up to 1,000 tests. The latest test per item is used automatically. Next due date is worked out from your interval, or you can type it in.
Service & Repair Log: up to 500 records with cost and next service due.
Dashboard: value of gear in use, and how much of it is insured vs not insured; counts of items overdue, failed, not tested or due soon; value by category; a to-do list of items needing action.
Theft & Insurance List: mark an item Lost/stolen and it lists itself with serial numbers and values, ready to print for police or your insurer.
Start Here guide, plus an EXAMPLE file and a BLANK file.
Why keep a list? Victoria Police recommends recording serial numbers and photos of your tools: https://www.police.vic.gov.au/secure-your-tools. SafeWork NSW says a register of equipment, tests and repairs should be kept, and that electronic records such as Excel are acceptable (see the fact sheet linked in the file).
Works with: Microsoft Excel and Google Sheets (import). No macros, no subscription, and it works offline. Yellow cells are for typing and grey formula cells are locked; protection has no password.
Please note
This is a record-keeping tool only, not safety, legal or insurance advice. It doesn't make your gear compliant.
Testing must be done by a competent person, at the intervals that apply in your state.
Check your insurance policy for what it needs.
Tested in LibreOffice. Built to use only functions that Excel and Google Sheets both support.
Licence: for use in your own business. Please don't resell or share the file.
