Andwat shop notes — this guide includes a link to our own Dispatch Planner.
A packing plan and an actual handover answer different questions. The plan says what you intend to send. The handover record says what actually left. Keeping both can make a small packing session easier to review.
1. Start with checked quantities
Use one row for each distinct item or variant. Count stock that is ready for that session and check the quantities needed against your own order records. Keep customer names, addresses and payment details in your usual systems.
2. Make the plan
Here is a fictional example: you count 12 ready units and need 8. You plan to dispatch 8, leaving a calculated 4. That calculation describes the plan. It does not prove that eight units were packed, collected or delivered.
3. Record what actually happened
Suppose only 7 units are handed over. Record 7 as the actual handover and investigate the difference using your own records. If there were no other movements, 12 minus 7 would leave 5. Recount and account for any other movements before treating that number as actual stock.
4. Save the record
Keep a copy of the plan, the handover record and any explanation for differences. Update your normal order and stock records from real evidence. A calculator cannot confirm collection or delivery for you.
A prepared option for small packing sessions
Our Small-shop Dispatch Planner — Offline Toolkit is a one-time A$6 digital download, with any applicable checkout taxes shown by Payhip. It includes a desktop quantity calculator for up to 20 item or variant rows, a printable companion and instructions.
Extract the ZIP and keep all six files together. The calculator requires JavaScript and does not save entries: print or save a PDF before closing or refreshing. The companion is completed on paper; it is not an editable spreadsheet. Phone compatibility is not promised.
There is no stock sync, order import, shipping-label creation, automatic fulfilment or profit calculation. You can also use your own paper or spreadsheet process. Choose this toolkit only if its prepared layout suits a gap in your current workflow.
