Nonprofit Donation Tracker Spreadsheet with Pledges
Year-end statements, pledge follow-ups and event acknowledgments are where donor records slip. This nonprofit bookkeeping spreadsheet for donors and fundraising has a donor log that prints year-end giving statements, a pledge & campaign tracker, a fundraising event tracker, a volunteer hours & in-kind log, a client assistance log, and a Word pack of 16 donor, grant and sponsor letters and forms. Excel, Google Sheets & Word.
Most templates in this space are checklists, Word forms and simple sheets. These workbooks do the math and flag errors.
Every workbook has a Check column that tells you what to fix before statements go out or the board sees the numbers: gifts dated outside the giving year, donor IDs that aren't on the donor list, missing check numbers, donor addresses too incomplete to mail, pledges behind schedule or past their last payment date, event payments that still need a written acknowledgment or quid pro quo disclosure, unpaid event bills, in-kind gifts not yet acknowledged, and client assistance requests over your per-case or annual household limit, repeat requests, unverified need, or cash paid to the person instead of the vendor.
WHAT'S INCLUDED (10 Excel files + 2 Word files)

HOW IT WORKS
1. Enter your organization once on each Setup tab: name, address, EIN, funds, receipt thresholds, campaigns, events, programs and limits.
2. Record gifts, pledge payments, event payments, volunteer shifts, in-kind gifts and assistance requests one line at a time.
3. The Check column flags problems; statements, campaign totals, event results and summaries fill themselves in. Use the Word letters for acknowledgments and grant correspondence.
Fund categories used throughout: Unrestricted (General), Board-designated, Donor-restricted, with fund codes like GEN, DES-OPR and RES-BLD.
Plain-English Start Here tab in every workbook · no macros · blank + filled EXAMPLE for every file.
WORKS IN EXCEL, GOOGLE SHEETS AND WORD
Excel: download the ZIP, open any .xlsx, and start on the Start Here tab.
Google Sheets: File → Import → Upload → choose the .xlsx → create new spreadsheet. (Sheets does not carry over Excel's sheet protection, so formula cells are unlocked there.)
Word: open the Forms & Letters .docx in Word or upload it to Google Docs, and fill in the yellow-highlighted blanks.
Keep the EXAMPLE files as a filled reference; work in the blank files.
