Issue a hot work permit, watch the job, close it out properly, and see at a glance which permits are still open.

What's inside

  • Hot Work Permit (A4): permit number, site, job and exact location, equipment, hot work type, linked permits, 15 pre-work checks (Y / N / N/A), extra controls, gas test readings, valid from/to with an hours check, and sign-offs for the responsible officer, operator(s) and fire watcher. Close-out section with fire watch minutes worked out for you.
  • Fire Watch Checklist (A4): during-work checks, a timed patrol log after the work stops (+15, +30, +45, +60 minutes and a later check), post-work checks and hand back.
  • Permit Register: numbers every permit for you (your own prefix and start number) and works out hours open, fire watch minutes and a red / amber / green status. Permits open longer than 8 hours or past their valid-to time go RED. A short or missing fire watch goes AMBER.
  • Summary: open, expired, over-limit, closed OK, cancelled, red/amber/green counts and permits by hot work type.
  • Printable PDF: the permit and fire watch checklist with white boxes, ready to print and fill by hand.
  • BLANK + EXAMPLE files (a made-up fab shop), an Instructions tab and a quick-start PDF.

Good to know

  • Excel and Google Sheets. No macros, works offline. Prints A4.
  • You set the max hours open (default 8), the amber warning and the minimum fire watch time.
  • 200 permits per file. It's a spreadsheet, so it doesn't send reminders.
  • Written in our own words with reference to AS 1674.1. It doesn't reproduce the standard.
  • A record-keeping aid only, not legal or WHS advice. Hot work must be done by competent people under your site's own procedures.
