Every confined space entry in one file: the permit, the gas readings, the detector checks and the rescue drills. Each permit tells you straight away if it's OPEN, CLOSED, OVERDUE or STOP.
What's inside
- Entry Permits. One row per permit with:
- the space, the work, who issued it, and valid from/to
- the full name of every entrant, plus the stand-by person and communication method
- isolation, ventilation/purge, controls and PPE/RPE
- equipment taken in and exclusions (e.g. ignition sources), and the hot work permit ref
- close-out: everyone out, work complete
- It pulls in the latest gas reading and shows how long to keep the permit once it's closed.
- Print Permit. Type a permit number and get a one-page A4 permit with the latest gas reading, a sign-on/sign-off table and the close-out acknowledgement. Ready to display at the entry point.
- Gas Tests. Log pre-entry, periodic, continuous and re-entry readings: O2 %, LEL %, H2S, CO and the detector used.
- Each reading is checked against 19.5-23.5% oxygen and the 5% / 10% LEL limits.
- H2S and CO are checked against your own limits if you set them.
- Space Register. Each tank, vessel, pit, silo or duct with its hazards, isolation points, sign, risk assessment and rescue procedure. Flags anything missing.
- Equipment. Gas detector calibration and bump tests, tripods/winches, harnesses, RPE and blowers, with next due dates. A detector that's overdue or out of service flags every reading taken with it.
- Training & Drills. Confined space training, detector training and rescue drills, with your own refresher periods.
- Summary page, plus BLANK and EXAMPLE files (a made-up tank and fab shop), an Instructions tab and a quick-start PDF.
Good to know
- Works in Excel and Google Sheets. No macros, works offline. Prints A4.
- Holds 100 spaces, 500 permits, 1,000 gas readings, 100 equipment checks and 300 training records.
- All limits are settings. Defaults: O2 19.5-23.5%, LEL 5% / 10%, keep permits 28 days, or 24 months after a notifiable incident.
- It's a spreadsheet, so it doesn't send reminders or read your detector.
- It's a record-keeping aid only. It doesn't decide whether a space is safe to enter and doesn't replace a competent person, risk assessment, rescue plan or training. It isn't a copy of any Standard or Code.
